Job Duties & Responsibilities:

  • Provide administrative support for corporate office and branch locations including, but not limited to:

  • Assist with reception duties, i.e. call distribution, mail handling, opening | closing procedures, greeting onsite guests

  • Coordinate requests for building conference room scheduling, onsite catering orders, set/strike meeting spaces

  • Act as delegate for invoice entry for Senior Accounting Managers

  • Maintain office machines and corresponding supplies

  • Purchase and inventory general office supplies for corporate campus

  • Provide support to in house staff as needed with assorted administrative tasks daily (detailed list available upon hire)

Qualifications:

Basic Qualifications:

  • High school diploma or equivalent.

  • Minimum of 1 year of relevant administrative support experience.

  • Proficiency with Windows applications, including Word, Excel, PowerPoint, and Outlook.

  • Proficiency in composing articulate and grammatically correct written communication.

  • Ability to multitask and handle a variety of tasks simultaneously.

  • Strong communication skills, both verbal and written, with the ability to articulate ideas clearly.

  • Demonstrated proficiency in online purchasing and procurement of office supplies.

Preferred Qualifications:

  • 2+ years of administrative support experience in a corporate environment.

  • General Accounting knowledge

  • Experience with reception duties, including call handling, mail distribution, and greeting guests.

  • Familiarity with coordinating conference room scheduling and onsite catering orders.

  • Knowledge of maintaining office machines and inventory management.

  • Previous experience in making employee travel arrangements.

  • Prior experience purchasing and managing office supplies.

  • Ability to read, analyze, and interpret industry journals.

  • Demonstrated organizational skills, accuracy, and dependable work habits.

  • Proven ability to handle conflict and respond to common inquiries or complaints from customers.

  • Capability to work under pressure and meet simultaneous deadlines.

  • Comfortable working in a fast-paced environment

Essential Job Functions:

  • Be able to lift and carry ladders, drawings, personal computers, material, etc.

  • Be able to lift up to 75lbs.

  • Be able to spend significant time standing and walking on construction sites.

  • Be able to climb several flights of stairs or ladders throughout a typical day on a construction site.

  • Maintain a satisfactory driving record which, per Climatec’s vehicle policy, allows the individual to drive a company vehicle.

  • Be physically able to kneel, stoop and crawl.
