Job Description Summary

Penn Carey Law’s Financial Administrative Coordinator completes, with great attention to detail, a variety of important administrative tasks for the Law Business Affairs Office in support of its Director of Fiscal Operations. The Administrative Coordinator is knowledgeable of university policy and practice, work cooperatively with members of the Business Affairs Office, and responds effectively to the needs of the Penn Carey Law community.

Job Description

Duties include:

Administrative Support

  • Perform journaling tasks and complete reconciliations.

  • Respond efficiently and effectively to requests from departments, faculty, students, and other customers; triage requests and ensure excellent customer service.

Manage Ticketing System

  • Triage all requests made through Freshdesk or other workflow system.. Assign tickets and serve as primary gatekeeper of the queue.

Payroll

  • Work closely with Business Affairs and HR leadership to ensure accurate payroll records through Workday; update on-line payroll records.

  • Approve and monitor hours worked weekly by students, part-time employees, Work/Study employees and full-time non-exempt employees. Approve weekly timesheets.

  • Hire departmental student workers and temporary employees.

Reimbursements

  • Promptly and efficiently handle a large quantity of faculty, staff, and student reimbursement requests.

  • Serve as a reviewer for Penn Carey Law faculty, staff, and students; assume the role of delegate for faculty at their request and some staff.

  • Respond to questions regarding Concur and the reimbursement process.

  • When necessary, prepare and complete reimbursements through the Penn Marketplace.

  • Assist in the ongoing reconciliation of payments using BEN Financials applications.

  • Review reimbursement forms for adherence to University and Penn Carey Law policy and practice, and appropriateness of charges.

Purchasing & Transactions

  • Provide financial transactional support for staff, faculty and student groups.

  • Create purchase orders, track requests, journal to correct accounts, and compile data for financial reports as needed.

  • Assist end users with their independent use of purchasing and procurement systems.

  • Process transactions through the Penn Marketplace.

Pcard

  • Process Purchasing Card transactions when appropriate per request by Law School departments, faculty, or staff.

  • Update database of Pcard transactions and reconcile to monthly PaymentNet application reports. Reallocate weekly Pcard transactions.

Other duties as assigned

  • Assist colleagues in the Business Affairs Office on a variety of projects as needed, including department billing, data entry, deliveries around campus, report preparation, and the ongoing maintenance and security of payment and payroll files.

Approach work in a cooperative and service-oriented manner. Share equipment and responsibilities in a sensitive and supportive manner. Understand and support the overall mission of the Law School.

Qualifications:

 Minimum of five years of progressively responsible experience in a fast-paced, customer service-oriented administrative environment, or equivalent combination of education and experience.

 Proven ability to prioritize tasks effectively and communicate professionally with a diverse range of stakeholders.

 Demonstrated capacity to manage confidential information with integrity and discretion.

 Strong customer service ethic with a keen attention to detail.

 Preferred experience with University Payroll System (Workday), Concur travel and entertainment system, PennERA, and/or BEN Financials.

 Proficiency in Microsoft Word, Excel, and PowerPoint required.
