Job Title: Event Series Coordinator
Entity: Hospital of the University of Pennsylvania
Department: Volunteer Services
Location: 3400 Spruce Street, Philadelphia, Pa
Hours: Full Time, Per Departmental Needs
Summary:
- The Event Services Coordinator serves as a point liaison for event coordination occurring in shared and public spaces on campus including HUP Main, Pavilion, and PCAM. Additionally, they serve as a resource to the Board of Women's Visitors and the Abrahamsom Christmas and Easter Committee. These responsibilities include scheduling, screening phone calls, providing preliminary information to internal and external callers, preparing forms, meeting materials and reports.
Responsibilities :
Central coordination for reviewing and approving shared space requests and escalating per policy
Reviewing daily events on campus to confirm set up with appropriate resource support services (EVS, AV, Security, etc.)
Recommending support resources (catering and other Penn services) as requested to support events
Liaison for special events on HUP’s campus such as: recruitment, wellness, benefits, vaccination fairs, book fairs, development activities, and special events
Coordinate approvals for the placement of signs and banners for events and activities
Develop expertise in the Workplace @ Penn Medicine booking system.
Become default approver for identified spaces.
Review for accuracy annually.
Handle maintenance and repair request to conference rooms and other shared spaces.
Coordinate vendors for HUP Community Marketplace
Board of Women’s Visitors & Abrahamson Christmas and Easter Committee:
Prepare Annual Reports while coordinating with leaders for content
Assist with scheduling reoccurring meetings • Assist with scheduling speakers from various department through the Penn Medicine system
Screen incoming phone calls, grant applications, business correspondence, providing preliminary information to internal and external callers and appropriate
Prepare agendas and meeting minutes, including printing and preparing binders
Prepare and/or edit presentation and other documentation as requested
Organize and/or participate in projects as needed. Coordinate and participate in events.
Assist with gift distribution to patients during the holiday seasons
Reviews all correspondence and documents received
Education or Equivalent Experience:
H.S. Diploma/GED (Required)
Associate of the Arts Degree (Preferred)
0-1 years of experience providing administrative support (Required)
