Summary:

The Director of Materials Management reports to the Associate Chief Operating Officer and is responsible providing strategic, operational, and financial leadership to HUP Materials Management Department across three the following three (3) distinct locations: The Hospital of the University of Pennsylvania, The Hospital of the University of Pennsylvania – Cedar Avenue, and the Perelman Center for Advanced Medicine. The HUP Director of Materials Management is responsible for delivering safe, effective, efficient, and service-oriented operations across all departmental receiving, storeroom, equipment decontamination, linen, distribution, and mailroom locations / operations. This role is responsible for ensuring an uninterrupted supply of goods and services to both clinical and non-clinical customers across the HUP enterprise. This role is also responsible for regular communication / collaboration with key internal stakeholders including but not limited to nursing leadership, medical staff leadership, perioperative services leadership, and corporate supply chain leadership to evaluate and pursue opportunities to improve quality, service, operational efficiency, and drive innovation. The Director of Materials Management is responsible for building a high-performing leadership and front-line teams to support HUP's patient care mission. The Director of Materials Management is an active member of the Environment of Care, Infection Control, and Patient Safety committees. This role is also the primary department liaison between materials management, the hospital executive team, and corporate supply chain. Works independently to complete all assigned tasks and duties within the established departmental guidelines. Will be required to prioritize fluctuating workload and timelines to meet the demands of the position. Will also be required to problem solve normal/routine situations and to understand the political environment to know when to seek assistance of management. These activities are conducted while maintaining and/or improving the quality of care provided to patients.

Responsibilities:

PATIENT/ EMPLOYEE SAFETY ACCOUNTABILITIES:

• Participate in entity and department wide initiatives to enhance patient, faculty, and staff safety

• Demonstrate an awareness of patient/ employee safety when carrying out daily responsibilities of their position • Ensure that the areas are compliant with all regulatory requirements

• Develop KPI’s and improves departmental performance using data and performance improvement tools

• Ensure that patient and non patient care supplies, linen, equipment are consistently available at designated point of use locations.

OPERATIONS:

• Serve as a liaison between the materials management department, administration, corporate and hospital departments, and medical staff to ensure cost-effective utilization of products, including but not limited to all medical/surgical supplies, capital equipment, services, and technology assessment

• Actively seek out opportunities to improve operational effectiveness / efficiency through innovation, process design optimization, and automation

• Provide regular and frequent performance feedback to department leaders and front-line staff

• Coach, mentor, and develop department leaders and front-line staff to achieve departmental, organizational, and professional development goals.

• Create and regularly updates leadership succession and growth plans to continually develop leaders to take on broader roles within the Materials Management department and across HUP

• Apply advanced knowledge and expertise to identify products, which can be standardized, modified and/or eliminated to increase operating efficiency.

• Design, implement, and ensure compliance with established protocols for the optimal, standardized use of selected products in collaboration with appropriate department managers and staff Accountabilities • Interact with all appropriate department managers to develop, coordinate and integrate cost-management programs into departmental services by assisting with program development, data collection and analysis, implementation, monitoring, and follow-up

• Collaborate with departments to monitor and report on compliance of implemented changes in products • Develop, evaluate, and adjust stocking location PAR levels to ensure appropriate inventory levels based on volume, utilization, and acuity data

• Review generated reports from the materials management system and finance to determine products and/or product lines that can be evaluated for product standardization

• Review all purchasing contracts for product-standardization, evaluation and analysis

• Identify and pursues opportunities to leverage technology to improve customer communication, operational quality, and operational efficiency

• Evaluate the cost benefits of product changes for standardization and/or contract/vendor changes and makes recommendations for action to hospital leadership

• For management and department review and analysis, prepares cost/benefit price analysis reports for product or vendor changes and comparative market analysis reports • Initiate studies for new or alternative sources of products to continually maximize product quality and cost effectiveness

• Evaluate the performance of outsourced laundry / linen operation and manages the vendor accordingly to meet / exceed service level expectations

• Evaluate the cost-effectiveness of ‘reusable’ versus ‘disposable’ products for maximum cost-effectiveness

• Partner with appropriate department managers and staff to investigate, monitor and report on product failures

• Develop and executes appropriate mitigation, action, and customer communication plans to service or patient care issues

• Coordinate with staff development on all educational programs relating to products

• Participate as a member, chair, co-chair or ad hoc member of any committee or subcommittees as a representative of administration.

• Represent administration on all committees/workgroups designated to analyze potential products/services

• Utilize hospital information to assist in the identification and implementation of product and service-related cost savings measures, including but not limited to hospital databases, purchasing processes, benchmarking and technology assessments • Attend and participates in hospital Value Analysis Program related activities.

• Establish goals and guidelines for the division of the materials management to ensure that the institution maintains fiscal efficacy.

• Create key performance indicators and performance dashboards to quantify, communicate, and trend department performance levels

• With corporate supply chain, and ACOO performs all strategic planning for all reporting areas as well as hospital materials and distribution/transportation systems hospital wide

• Oversee and, with Corporate Materials Management, direct the selection and utilization of materials and distribution information systems.

• Develop and implement cost effective initiatives in reporting departments and where as appropriate in other areas in relation to supply distribution, transportation, mail, etc.

• Enforce compliance to all appropriate regulatory bodies as activities in the hospital relate to materials management functions

• Assess vendor effectiveness and manage service levels accordingly

• Critically analyze and develop innovative solutions to customer concerns

• Responsible for the development of logistics, transportation and storage requirements for all hospital materials. • Participates in development and works on the execution of strategic initiatives developed corporate supply chain and the ACOO for HUP.

Education or Equivalent Experience:

Bachelor's of Science or Business Degree with 4+ years of experience in a healthcare or hospital setting.

Master's preferred
