Summary:
- The Administrative Assistant to the Board of Women Visitors, the Abrahamsohn Christmas and Easter Committee and Volunteer Services provides administrative support to the Volunteer Services Department. Primary responsibilities include scheduling, screening phone calls, providing preliminary information to internal and external callers, preparing forms, meeting materials and reports.
Responsibilities:
• Prepare Annual Reports, coordinate with leaders for content
• Assist with scheduling reoccurring meetings
• Assist with scheduling speakers from various department through the Penn Medicine system
• Screen incoming phone calls, grant applications, business correspondence, providing preliminary information to internal and external callers and appropriate
• Prepare agendas and meeting minutes
• Prepare and/or edit presentation and other documentation when requested
• Organize and/or participate in projects as needed. Coordinate and participate in events
• Assist with gift distribution to patients during the holiday seasons
• Reviews all correspondece and documents recived
• Assist with Friday Community vendor scheduling and vetting
• Coordinate vendors for HUP Community Marketplace
• Performs duties in accordance with Penn Medicine and entity values, policies, and procedures
• Other duties as assigned to support the unit, department, entity, and health system organization
Credentials:
Education or Equivalent Experience:
Bachelor of Arts or Science
Education Specialization: Equivalent Experience: •3+ years 3-5 years of experience working with leadership in an academic healthcare or complex system environment
