Description
We are offering a short term contract employment opportunity (at least 3 months with possible extensions and long-term employment) for an Administrative Assistant in Northeast Philadelphia, Pennsylvania. This role primarily involves providing comprehensive administrative support, managing information, and conducting research. As an Administrative Assistant, you will play a crucial role in maintaining efficient office operations in our industry.
Responsibilities:
• Efficiently handle information requests and conduct research as necessary.
• Manage and maintain records systems in an organized manner.
• Perform basic bookkeeping tasks and maintain financial statements.
• Prepare and distribute various documents such as invoices, reports, memos, and letters.
• Organize, file, and retrieve corporate documents, records, and reports.
• Handle incoming correspondence including faxes and emails, and distribute them appropriately.
• Prepare responses to routine inquiries and correspondences.
• Demonstrate proficiency in computer applications including Microsoft Word, Excel, and PowerPoint.
• Deliver customer service and exhibit strong interpersonal and communication skills.
• Maintain confidentiality and manage time effectively while working independently.
Requirements • Proficiency in Customer Service is mandatory, as the role involves dealing with internal and external stakeholders.
• Strong Communication skills required, both verbal and written, for effective liaison within and outside the organization.
• Familiarity with Office Functions is necessary for smooth operations and coordination of tasks.
• Microsoft Excel skills are essential for managing, analyzing, and reporting data.
• Research skills are needed to gather, analyze, and present relevant information.
• Proficiency in Microsoft Word for creating, editing, and formatting documents.
• Knowledge of the About Time software is beneficial for efficient timekeeping and management.
• Ability to handle Correspondence, including emails, letters, and other forms of communication.
• Experience in Clerical Duties such as filing, typing, and managing appointments.
• Understanding of Financial Statements for effective support in fiscal management.
• Proficiency in Microsoft PowerPoint for creating and editing presentations.
• Familiarity with Conductivity measurements could be beneficial, depending on the specific needs of the role.
• Strong Interpersonal Skills to maintain positive relationships within the organization.
• Ability to Distribute Faxes to appropriate personnel or departments.
• Excellent Written Communication skills for clear and concise correspondence.
• Experience in Records Management to accurately maintain and organize essential documents.
• Proficiency in various Computer Programs for efficient task management.
• Basic Bookkeeping skills are required for managing financial records.
• Ability to Prepare Invoices accurately and timely.
• Experience in preparing Responses to queries or communications.
