Administrative Assistant

Looking for an experienced, assertive administrative assistant to work in a detail oriented, locally owned, family operated construction company. Successful candidates will have excellent customer service, must be outcome-oriented, and able to manage their daily tasks. This job will be a full time position. Applicants are required to submit a resume along with cover page, referrals, and any social media links (i.e.: Facebook, LinkedIn, Google Plus).

JOB SUMMARY

Duties include handling of confidential and proprietary information associated with business protocols, customer information, and employee personal data.

JOB LOCATION AND HOURS

Peachland, NC near the Anson County and Union County line

Mon-Thurs 7:30-5pm. Fri 8-12

ROLE and RESPONSIBILITIES

Software Knowledge Required

Quickbooks

Dropbox

Microsoft 365: including outlook, word and excel

o Bonus points for knowledge of:

Contractor Foreman

ISNetworld

Ariba, SAP, and/or other client/customer online management systems

Skills Required

Ability to juggle multiple projects with care and accuracy

Strong administrative skills such as filing, organizing, answering the phone, faxing, scanning documents, etc

Friendly customer service skills, over the phone and in person, with our customers and fellow associates

Strong sense of urgency and problem solving skills

The ability to recognize a problem and have the confidence to ask for help

Punctual, self-motivated, organized, detailed oriented, and honest

The ability to keep the confidentiality of the business and its employees

Once trained you will be expected to prioritize your tasks and work on your own

Proficient in Microsoft Office Suit 365, Quickbooks, and Dropbox

General Administrative Duties

Answers phones and transfer to appropriate team member

Receives, sorts and distributes incoming mail

Receives, sorts and processes daily supplier invoices

Maintains office filing and storage systems

Bill out projects

Human Resources and Payroll Duties

Intake and process weekly time reports from all the crews

Maintains HR records by recording new hires, processing applications, processing background checks, coordinating drug testing, and processing terminations

Enters changes into employee master files

Process and manage insurance applications for employees

Runs various reports as requested

Maintains current HR files and databases

Accurately updates, maintains and organizes employee records

Performs file audits to ensure all required employee documentation is collected, complete and maintained

Performs various administrative tasks in support of payroll operations, including data entry, copying, sorting and filing

Inputs timesheet and other related data into payroll system

Maintains effective communication with Project Managers, ensuring management is effectively communicating updates on infield employees, and is aware of any needed items, notices, problems or issues

Bookkeeping

Process customer payments

Bill customers

Reconcile cash and credit accounts in quickbooks on a monthly basis

Mail quarterly and annual tax filings

Pay vendor invoices

Ordering and Inventory Control

Maintains office supplies by checking stock to determine inventory levels; anticipating requirements

Places orders, verifies receipt, and stocks items

Sources products from various web based suppliers

REQUIREMENTS

High school graduate or equivalent required

2-3 years of administrative experience in a fast paced environment

Valid drivers license

Strong computer skills to include Word, Excel, Outlook, Dropbox and Quickbooks

Excellent written and verbal-communication skills, proper usage of grammar is a must!

Must be organized, detail-oriented, self-motivated and able to multi-task

COMPENSATION / BENEFITS

Full time, in person position, $20-$25/hr

Medical coverage

1 wee of vacation after six months as a full time employee, and two one-week paid vacations per year after 1 year of full time employment
