Kaiser Permanente Research Project Manager- School Of Medicine in Pasadena, California

Job Summary:

As a member of the Kaiser Permanente Bernard J. Tyson School of Medicine, Office of Research and Scholarship (ORS) - Research Support Services Team, the Research Project Manager is responsible for creating an engaging and supportive scholarly environment by ensuring appropriate guidance to students and faculty who engage in scholarly work. This position collaborates with faculty and the ORS Leadership to enable student and faculty to successfully conduct scholarly activities. These undertakings include research, quality improvement, medical education, and service-learning initiatives. The Research Project Manager will also uphold quality standards and timeliness of deliverables during all phases of the project life cycle consisting of scientific aims, research application development, project management, study design, data analysis and dissemination.

This position reports to the schools ORS Research Support Services Manager.

Students and faculty bear primary responsibility for conducting their own research and scholarship. The Research Project Manager and Team will provide appropriate guidance and staff support to facilitate the efficacious work being done. For students, this assistance includes identifying and engaging appropriate mentors, providing project consultation, aiding data access, and creating tools to enable successful completion of the required scholarly project. For faculty, this backing includes providing appropriate support services that enable faculty to undertake scholarly work required to maintain and/or advance their career.

Essential Responsibilities:

  • Project Planning and Implementation: Executes excellent organizational and project management skills, including designing and implementing new projects, goal setting, progress management, stakeholder management and ability to teach these aptitudes to faculty, staff, and students.

  • Guides students / faculty to create and meet project goals and action plans on schedule and budget.

  • Provides consultation on the development of study materials, recruitment procedures, data collection instruments and tracking systems.

  • Problem-solves on barriers to completing projects, quality assurance, and resource allocation issues.

  • Demonstrates ability to implement research protocols as well as manage complex research studies and budgets.

  • Contributes to the dissemination of research findings. Communicates with Principal Investigator (PI) regarding progress of research.

  • Plans / facilitates meetings that foster a team environment as well as develops content for and from these meetings (i.e., agendas / minutes).

  • Mentoring / Teaching: Ensures access to appropriate coaching for student and faculty on best practices to execute scholarly work, including planning, project management, study design, data analyses and dissemination.

  • Instills a student-centered mindset with an interest in guiding and inspiring the next generation of physicians.

  • Demonstrates excellent written and interpersonal communications skills, including flexibility, warmth and supportiveness with ability to relate to diverse, multidisciplinary teams of stakeholders: research scientists, analysts, clinicians, as well as faculty, staff and students.

  • Analysis / Research Partnerships: Facilitates effective communication and collaboration with stakeholders: senior leadership, librarian, statisticians, project managers, and data analysts. Work may include collaborating on the development of plans for student and faculty study design and analysis; providing guidance or setting priorities for ongoing programming activities; participating in the review of analytic tables/results and dissemination.

  • Demonstrates understanding of and applies knowledge in all phases of the project delivery life cycle.

  • Develops a high functioning, collaborative project team that supports the project planning, goals and execution plans on schedule.

  • Contributes to the development, preparation and timely submission of new research proposals.

  • Regulatory Research Compliance: Ensures quality data is collected and managed to assure participant and / or data confidentiality and security.

  • Guides students and faculty in their preparation of IRB applications, modifications, and annual continuation reports.

  • In collaboration with the Chief Compliance Officer, ensures the School of Medicine (including student and faculty scholarly activities) is in compliance with IRB and HIPAA regulations, including adherence to federal or other agency requirements.

  • Collaborates with KP Colorado IRB to ensure the school research activities are being managed consistent with the Service Level Agreement.

  • Prepares and maintains Data Use Agreements and other data compliance documentation.

  • Collaborates with the school Extramural/Sponsored Research and KFRI to monitor subcontracts for compliance, and if needed, prepares and submits study progress.

  • Maintains comprehensive knowledge of federal and other agency grant and contract management policies to be able to serve as a resource for the school Extramural/Sponsored Research and team.

    Basic Qualifications:

    Experience

  • Minimum three (3) years of project management experience in a healthcare and / or research setting.

    Education

  • Masters degree in a health sciences or health-related discipline requiring research.

    License, Certification, Registration

    Additional Requirements:

  • All minimum requirements including working knowledge of research design, methods and quantitative and qualitative skills, analysis with familiarity with basic statistical methods.

  • Strong people skills and works well in a team as well as independently.

  • Effective leadership skills, including critical thinking, sound judgment, as well as holding self and team members accountable.

  • Experience developing and presenting professional reports and presentations to senior-level audiences.

  • Certification of proficiency from a professional organization in project management is a plus.

  • Ability to work in a fast-changing environment.

    Preferred Qualifications:

  • Project Management Professional (PMP) certification.

  • Professional experience in research principles, design and strategies, bio statistical analyses and data interpretation.
