Description

Our client, a dynamic and rapidly growing company in the biotech sector, is seeking a proactive and highly organized Jr. Administrative Assistant/Office Manager to join their team. This role is crucial for ensuring the smooth operation of the office and supporting the overall efficiency and productivity of the team.

Responsibilities:

  • Serve as the first point of contact for visitors, managing front desk activities, and ensuring a welcoming atmosphere. Answer and direct phone calls and emails with professionalism and courtesy.

  • Maintain office supplies and inventory, ensuring that the office is well-stocked and organized. Manage relationships with office vendors, service providers, and landlord, ensuring all office operations run smoothly.

  • Schedule and coordinate meetings, appointments, and travel arrangements for staff members. Prepare meeting agendas, take minutes, and follow up on action items.

  • Assist in the preparation, editing, and formatting of reports, presentations, and correspondence. Ensure that all documents are filed and organized appropriately, maintaining both electronic and physical files.

  • Organize and coordinate office events, including team meetings, client visits, and company celebrations. Handle logistics, catering, and other event-related tasks.

  • Provide administrative support to various departments as needed. This may include data entry, expense report processing, and other clerical duties.

  • Handle confidential and sensitive information with the utmost discretion and integrity.

  • Identify opportunities to improve office procedures and contribute to the development of more efficient workflows.

    Requirements

Qualifications:

  • High school diploma or equivalent required; associate's or bachelor's degree preferred.

  • 1-2 years of administrative experience in a professional office setting.

  • Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint). Familiarity with office management software and tools is a plus.

  • Strong organizational and multitasking abilities. Ability to prioritize tasks and manage time effectively.

  • Excellent verbal and written communication skills. Strong interpersonal abilities to interact effectively with staff, clients, and visitors.

  • Meticulous attention to detail and a high degree of accuracy in work.

  • Proactive and resourceful approach to problem-solving. Ability to handle unexpected challenges with composure.

  • A collaborative team player with a positive attitude and a willingness to assist others.
