Kuehne+Nagel Assistant to Cluster Manager in Panama City, Panama

Your Role

Assist the Managing Director by efficiently coordinating travel arrangements, organizing company events, and maintaining accurate monthly updates in BlueNet. Ensure smooth operations and effective communication within the national management team, contributing to the overall success and productivity of the organization.

Your Responsibilities

  • Oversee and execute tasks related to office functionality, including air conditioning maintenance, office furniture, and general repairs.

  • Coordinate with office maintenance staff and the receptionist to ensure smooth operations.

  • Maintain regular contact with the building’s administrative company.

  • Managethe office application for desk, office, and parking reservations

  • Create purchase orders (PO) and complete tasks in ACON & P2P.

  • Create all types of new providers in ACON & P2P with the necessary documentation, including credits terms.

  • Purchase office utilities and manage inventory.

  • Purchase snacks for meetings and supplies for the cafeteria (plates, cups, forks, etc.).

  • Manage agreements with hotels and airlines, including credit terms.

  • Renovate annual company car insurance policy and other tasks related to company cars.

  • Maintain the provider contact list up to date.

  • Purchase, design, and distribute the annual give aways for clients.

  • Purchase giveaways for employees.

  • Manage employee’s recognition plaques.

  • Ensure that all invoices are paid on a monthly basis.

  • Send communications via emails and TEAMs to CaC countries as requested by the management team, HR, IT or QSHE.

  • Prepare communication for clients and providers as needed.

  • Createpage for Kuehne+Nagel recommended content on LinkedIn.

  • Prepare presentations for the monthly Cluster Townhall and Panama Townhall meetings.

  • Prepare the LMM agenda monthly.

  • Organize and coordinate meetings held in Panama.

  • Organize Team-Building Activities.

  • Make restaurants reservations for events, business dinners, and personal dinners for the Managing Director as needed.

  • Arrangecatering or snacks for office meetings.

  • Manage travel arrangements, including air tickets, hotel reservations, and transfers for the Managing Director of the Cluster.

  • Handle air ticket purchase orders for staff and new hires in Panamá and Costa Rica.

  • Organize transfers from the airport to the hotel or office and vice versa for visitors.

  • Book hotel accommodations for all visitors to Panama.

  • Oversee purchase orders related to travel for staff and new hires in Panama and Costa Rica.

Your Skills and Experiences

  • Bachelor's degree in International Trade, Administration, or Executive Secretariat

  • +2 years of experience as a management assistant or executive assistant

  • Previous experience in planning and coordinating the general manager's schedule and corporate events

  • Proficiency in technological tools (Microsoft Office) and report management

  • Fluent in English
