Robert Half Office Manager in Palo Alto, California

Description We are offering a long term contract employment opportunity for an Office Manager in Palo Alto, California. This role primarily revolves around the administration and organization of office operations, coordination of meetings, management of office paperwork, and handling of confidential information. The Office Manager will also play a pivotal role in ensuring the smooth execution of tasks, maintaining office systems, and overseeing the onboarding process for new hires.

Responsibilities:

• Manage and perform administrative functions including office organization and coordination of meetings.

• Handle sensitive or confidential information as required.

• Collaborate with various team members to streamline communication and address arising issues.

• Implement and maintain office systems and processes for optimal productivity and efficiency.

• Oversee the onboarding process for new hires, introducing company culture, policies, and procedures.

• Exercise budgeting responsibilities and coordinate with the finance department to manage office expenses.

• Negotiate with vendors for cost-effective services.

• Provide support for team members by resolving issues related to the working environment, equipment, supplies, or scheduling.

• Develop and maintain healthy relationships with service providers, suppliers, and other stakeholders essential to office operations.

• Monitor the office's compliance with health and safety regulations, ensuring a safe and comfortable working environment for all team members. Requirements • Minimum of 1 year of experience working as an Office Manager or in a similar role

• Proficiency in Accounting Software Systems and ADP - Financial Services

• Experience with Concur, CRM, and Dentrix Dental Software

• Knowledge of About Time software, Accounting Functions, Accounts Payable (AP), and Accounts Receivable (AR)

• Proven ability to handle Answering Inbound Calls and providing Back Office Support

• Experience in organizing Corporate Events

• Mastery of MS Office Suite including Word, Excel, and PowerPoint

• Excellent communication and interpersonal skills

• Strong organizational and time management skills

• Ability to multitask and prioritize work

• High attention to detail and problem-solving skills

• Bachelor’s degree in Business Administration or related field is preferred
