About this Role:

The Executive Administrator and Board Liaison plays a crucial role to support our General Counsel and Corporate Governance team at our global headquarters located in Palm Beach Gardens, FL. The ideal candidate is detail-oriented, is able to multi-task and prioritize and possesses strong problem-solving skills with the ability to build trust while managing highly sensitive and confidential information. This role involves coordinating meetings and communications between the Board of Directors and senior management, maintaining Board records and assisting with board meeting preparations. The role also provides direct administrative assistance support to the General Counsel.

Key Responsibilities:

Board Management

  • Manage the Corporate Governance and Board calendars, including coordinating meeting availability with stakeholders, including members of the Board and Senior Management

  • Work cross-functionally to assist in preparing for and organizing board meetings, annual general meetings, and other Board events

  • Work cross-functionally to coordinate communications with Board members, including regarding meeting logistics, meeting materials, andBoard member compensation

  • Maintain organized and updated records for all Board matters, including Board minutes, Board meeting agendas and materials, and communications with Board members

Executive Assistant Responsibilities:

  • Maintain schedules for meetings and conferences and adjust based on dynamic priorities.

  • Schedule domestic and international travel arrangements, complete detailed meeting and travel itineraries, and monitor and complete expense reports in a timely manner.

  • Consolidate reports and materials for executive meetings, including senior business reviews.

  • Manage logistical arrangements for leadership meetings to ensure seamless execution.

  • Analyze complex information requests with the utmost confidentiality and professionalism.

  • Interface with all levels of the organization and with external customers in a professional and effective manner.

  • Provide other administrative support and special projects as needed.

Required Qualifications:

  • High School diploma or GED.

  • 5+ years of administrative experience.

P referred Qualifications:

  • Bachelor’s degree preferred.

  • Advanced computer skills in Microsoft Office suite including Outlook, PowerPoint, Word, and Excel.

  • Exceptional analytical, organizational, and written/verbal communication skills with attention to detail.

  • Ability to operate independently and proactively in a fast-paced environment

  • Ability to use judgment and problem-solving skills to prioritize a dynamic workload

  • Ability to maintain confidentiality and operate in the role with the highest of ethical standards and professionalism.

  • Exhibits strong interpersonal skills to collaborate closely with cross-functional teams and senior leadership.

Pay Range:

$74,181 - $130,206 Annually
