ADMINISTRATIVE ASSISTANT AT PRIMEFLIGHT
As our Administrative Assistant you will play a vital role in supporting the daily operations of an office by managing administrative tasks and ensuring efficient office functionality. This position involves organizing and scheduling appointments, handling correspondence, preparing reports, and maintaining filing systems. You will also be responsible for providing support to management and staff, including coordinating meetings, managing databases, and assisting with project work as needed. Key skills for this role include strong organizational abilities, effective communication, proficiency in office software, and a proactive approach to problem-solving and time management.
RESPONSIBILITIES
Administering all testing for local applicants and coordinating badging and vetting
Assist with Recruiting, Hiring and training of local employees
Maintain employee schedules
Daily Management of timekeeping entries, payroll and assisting with issues
Handling HR related issues, communication with corporate and file management
Handle any reports or information requested by Station Management
Can work on client specific supply orders, reporting and compliance
Maintains a strong working relationship with airline partners
Can demonstrate regular, predictable attendance at job location
Utilizing excellent communication skills for client interaction
Employing problem solving abilities for issue resolution
May be assigned other duties as required
QUALIFICATIONS
18 years of age or older
Eligible to work in the United States
2 Years experience as an Admin or Administrative Assistant
Experience in customer service required
Intermediate/Highly proficient Word, Excel, PowerPoint, Outlook
Bilingual in English/Spanish a plus
Ability to read, write, speak, and understand the English language, to include documents
Ability to use electronic devices including IPads/Tablets, Computers, and Mobile Devices
Effectively communicate with colleagues and clients, both in-person and through electronic means
Pass a background check and drug screen
Eligibility to acquire needed credentials and clearances (FAA, TSA, Port Authority, U.S. Customs and U.S. Postal- as applicable)
Must be flexible to work extended hours on occasion to support our field operations

PHYSICAL ACTIVITY/WORKING CONDITIONS MAY INCLUDE:

Specific vision abilities required for this job include: Close vision (clear vision at 20 inches or less); distance vision (clear vision at 20 feet or more); peripheral vision (ability to observe an area that can be seen up and down or to the left and right while eyes are fixed on a given point); depth perception (three-dimensional vision, ability to judge distances and spatial relationships); ability to adjust focus (ability to adjust the eye to bring an object into sharp focus)
