Position Announcement
Utah Valley University's part-time Administrative Assistant role offers an excellent opportunity to support the vital work of the Student Affairs Division. Reporting to the Director of Development for Student Affairs, this position ensures smooth operations through expert management of scheduling, correspondence, expense reporting, and purchasing processes. From preparing budget projections and travel audits to coordinating meetings, special events, and facility scheduling, the Administrative Assistant serves as the organizational backbone of the team.
This role is perfect for someone detail-oriented and resourceful, with a knack for multitasking and an interest in higher education. With responsibilities that require specialized knowledge, including inventory control and record-keeping, this position offers meaningful opportunities to contribute to the success of the Student Affairs Division while gaining valuable administrative experience in a dynamic academic environment.
Summary of Responsibilities
• Performs and/or oversees a variety of associated administrative duties within the department. Duties include overall fiscal tracking including completing and tracking expense reports, mileage tracking, requisition submission, purchase orders, purchase card audits, budget projections, and travel audit preparation.
• Offers general staff support, and planning activities, some of which require advanced or specialized knowledge and skills, such as monitoring calendaring, facilities scheduling, inventory control, specialized record keeping, and/or specified information-gathering projects and tasks.
• Coordinates and facilitates meetings, program functions, and/or special events, as appropriate. Assists with travel for department employees using Concur including preparing travel audits. Trains and oversees lower-graded staff and/or students.
• Perform other job-related duties as assigned.
Qualifications / Licenses / Certifications
Graduation from an accredited institution with a bachelor's related to the Summary of Duties or any combination of education and/or experience totaling four years.
Knowledge / Skills / Abilities
Knowledge
• Knowledge of administrative support general duties including monitoring and tracking of financial data.
• Knowledge and use of Microsoft Outlook, Banner, and Concur.
• Skills
• Skills in the use of computers and computer software applications, including calendaring, word processing, spreadsheets, and e-mail.
• Skills in office etiquette, demonstrate the highest quality customer service for incoming and outgoing telephone skills, methods, techniques, practices, and procedures.
• Skills in problem-solving, decision making, networking, and excellent interpersonal communication.
• Skills in prioritizing, anticipating needs, organization and coordination.
Abilities
• Ability to perform a variety of administrative support duties with minimum supervision. Ability to multi-task and prioritize to meet the needs of a busy front office.

• Ability to coordinate and assist in the preparation and monitoring of departmental financial transactions
