Responsibilities

This position will provide administrative support to the Retail Loan Director and Indirect Management. With minimal supervision, this position will assume administrative services for the assigned manager and department prioritizing and organizing responsibilities to assure timely completion for all assigned duties.

Essential Responsibilities:

  • Provide administrative support to the Retail Loan Director and Indirect Management
    • Function as a team with Indirect Operations to achieve the goals expected for the department being cognizant of compliance and other regulations
    • Increase the efficiency of Indirect Operations by providing copying, document scanning, faxing and other administrative services as needed
  • Provide support to the Indirect Department
    • Monitor and order office and dealer supplies
    • Assist in monitoring group email accounts
    • Assist with mail/FedEx/UPS retrieval and sorting
    • Facilitate dealer fax notifications as directed
    • Fax Funding review communication
    • Facilitate special occasion acknowledgements
    • Assist with SharePoint updates
    • Process dealer programming reimbursement requests
    • Assist with data entry/credit support
    • Review expense reports
    • Support insurance claims and process insurance claim payouts
    • Company automobile scheduling
  • Coordinate out-of-town personnel accommodations as well as off-site assembly
    • Attain and maintain knowledge of assigned processes via communication/instruction from the manager, research on issues, and attendance at meetings as required
    • Complete special projects as assigned within the time frame provided
    • Other related duties as assigned or directed
    • Maintain proficient knowledge of, and demonstrate ongoing compliance with all laws and regulations applicable to this position, ensure ongoing adherence to pertinent policies, procedures, and internal controls, and meet all training requirements in a timely manner

Ancillary Duties:

As an integral member of the Indirect Department, this position is also responsible to provide assistance wherever necessary to help the department and the company in achieving their annual goals.


Qualifications

Education, Training and Requirements:

  • High School Diploma or GED required
  • Associate's Degree or equivalent business-related experience preferred
  • All applicants must be 18 years of age or older

  • Attention to detail with the ability to multi-task in a time sensitive environment
  • Organizational skills
  • Strong computer and typing skills with PC proficiency (Microsoft Office products and ability to learn specific departmental software)
  • Interpersonal skill including excellent customer service using both oral and written communication

Experience:

  • Minimum of two (2) years of administrative office experience highly preferred


Other Job Information

Hours: 40 hours/week; Monday-Friday 8:00-4:30 with some Saturdays 9:00-3:00

Compensation: Commensurate with experience plus potential for annual merit increase.
