Robert Half Administrative Assistant in Oak Brook, Illinois

Description We are offering a short-term contract employment opportunity for a highly organized and detail-oriented Administrative Assistant Jewelry Liaison. The role is based in Oak Brook, Illinois, and will function as the primary point of contact between our administrative team and our jewelry department. The successful candidate will be responsible for facilitating communication, coordinating activities, managing schedules, and handling inventory related tasks.

Responsibilities:

• Act as the primary point of contact between the administrative team and the jewelry department, ensuring smooth communication and efficient operations.

• Manage and maintain schedules, appointments, and calendars for the jewelry department.

• Prepare and organize documents, reports, and presentations related to jewelry operations.

• Handle incoming and outgoing correspondence, including emails, phone calls, and mail.

• Assist in tracking and managing jewelry inventory and coordinate with the inventory team to ensure accurate record-keeping and stock levels.

• Facilitate planning and organizing jewelry-related events, including sales, exhibitions, and promotions.

• Coordinate with vendors, suppliers, and other external partners for event logistics.

• Enter and update data related to jewelry products, sales, and customer information in the company’s database.

• Maintain accurate and up-to-date records and generate reports as needed.

• Assist in resolving any issues or misunderstandings between departments. Requirements • Proficient in Microsoft Office Suite including Excel, Word, Outlook, and PowerPoint

• Ability to handle inbound and outbound calls professionally

• Excellent customer service skills

• Experience in data entry and maintaining accurate records

• Strong written and verbal communication skills for email correspondence

• Ability to schedule appointments and manage calendars effectively

• Ability to multitask and prioritize tasks in a fast-paced environment

• Strong organizational skills and attention to detail

• Ability to work independently and within a team

• Problem-solving skills and ability to make decisions under pressure

• Flexibility to adapt to changes in procedures and job assignments
