KEY RESPONSIBILITIES:
Answer and redirect inbound phone calls.
Receive and distribute or send packages by post or courier to the correct recipients.
Direct all in-person visitor enquiries to the appropriate AVC contacts.
Make the daily Welcome Calls to AVC members and guests, escalating issues quickly and following up uncontacted members and guests regularly to maximise feedback.
Assist with various Novotel Nusa Dua department enquiries and information/docket distribution as required.
Provide AVC Resort Operations staff with the daily arrival and vacant rooms for their inspection, then update the report at the end of each day.
Re-confirm expected AVC Asia arrivals daily.
Scanning AVC Accounts Payable and AHPP paperwork in a timely manner to minimise backlogs.
Make daily Welcome Letters for arrivals and pass to the Novotel housekeeping team for distribution.
General operational administration as directed.
KEY WH&S RESPONSIBILITIES:
- Take reasonable care for the safety of self, visitors and others in the workplace.
KEY PERFORMANCE INDICATORS:
75% contact with in-house guests Welcome Calls.
Prepare, print and ensure Novotel housekeeping distribute Welcome Letters in all arriving rooms daily.
Be up to date with scanning of accounts payable documentation – no more than 1 month in arrears.
Contribute to guest satisfaction ensuring all queries are passed on in a professional and timely manner.
SKILLS AND ATTRIBUTES
A confident communicator in both Indonesian and English with the ability to manage daily administrative and other tasks as required.
Previous experience working in the timeshare industry is advantageous, but not essential
Key Skills
Willingness to take ownership of tasks to meet daily/weekly/monthly needs.
Computer literate using Outlook, Word & Excel and others as required.
Organised with good time management skills to prioritise tasks and meet deadlines.
Adaptable to deal with daily events as they occur.
The ability to use training and self-development to improve AVC product knowledge, systems and solutions for better outcomes.
Competent using phone systems, office machines, copiers/printers and other office tools.
