This position is based in Northbrook, Illinois. Remote work from certain states may be permitted in accordance with Astellas’ Responsible Flexibility Guidelines. Candidates interested in remote work are encouraged to apply.

Purpose and Scope:

The Specialist, Congress Planning ACP MA-US is responsible for providing logistical and tactical project management support and will act as a lead congress planner, providing project management leadership and oversight to the planning and execution of US National and/or Regional congresses, across various disease areas. This individual will work cross functionally with appropriate internal and external partners to ensure overall program success. Work with the product teams including HQ based and Medical Field and cross functions through the implementation of strategy, delivery of objectives and execution of logistics. The specialist will need to have scientific background to understand the disease to be able to review congress programs and identify areas of interest for the team.

Essential Job Responsibilities:

  • Provide project management expertise for Astellas Medical Affairs, US (MA-US) Project/Product Teams.

  • Work closely with the designated Medical Affairs Product Team Lead and the MSL field directors to ensure project success through execution of key project activities as they relate to the congress planning for the product teams.

  • Enable active cross-functional communication within team.

  • Leverage scientific background to understand the disease area and be able to identify within the congress program the various areas of interest for the team to cover.

  • Coordinate across Medical Affairs US functions and product teams on the needs for the specific congress from registration to booth content as required, to KEE engagement plan.

  • Complete project timeline: establish a work flow schedule with product teams including HQ based and field teams to facilitate timely and accurate handling of all congress support needed.

  • Coordinate all program details and produce a program itinerary / working agenda that outlines all program specifics and requirements.

  • For congress where booth or table is needed, Congress Planning Specialist will work with the team to align on information needed, get appropriate content and approval and work with cross functional team including Medical Affairs, US and US commercial.

  • Work with cross-functional teams including project management to ensure any cross charges on booths/registration/hotel for medical are completed per budget allocated.

  • Partner with designated team to communicate registration, status meetings and continuous communication throughout program.

Miscellaneous Responsibilities:

  • Work on special projects as assigned by team leadership.

  • Keep abreast of industry standards and trends related to responsibilities.

  • Develop and maintain cross-functional relationships.

  • Prioritize multiple projects/demands effectively.

Qualifications Required:

  • Master’s degree, PhD, or PharmD within scientific field.

  • Minimum of 6 (MS), or 3 (PhD, PharmD) years of experience in the pharmaceutical industry or related scientific fields and have been involved in congress planning.

  • Proven Project Management / Operational Management experience.

  • Demonstrated organizational skills and ability to manage multiple complex/layered projects and competing priorities.

  • Demonstrated ability to influence without supervision.

  • Excellent collaboration and communication skills to facilitate team discussions and drive optimal team performance.

  • Strong project management and organizational skills – the ability to set targets, track to milestones, and complete projects in a dynamic, fast-paced environment.

  • This position requires someone who can demonstrate exceptional cross-functional collaboration skills –experience partnering within Medical Affairs, Marketing, Marketing Operations, Sales, Medical Affairs, Medical Communications, Legal, Ethics and Compliance and external vendors.

  • Excellent verbal and written communication skills, including listening and presentation skills.

  • An understanding of the pharmaceutical commercialization process and knowledge of the medical, legal, and E&C review process.

  • Strong computer and database skills (e.g., SmartSheets, Microsoft Office products, Project management software).

  • Exhibit high emotional intelligence, with demonstrated ability to successfully negotiate through challenging situations, difficult conversations, and ambiguous assignments.

  • Impeccable ethics and integrity and comfort operating in a highly regulated environment.

  • Ability to communicate effectively and professionally with all levels of management and clients.

  • Ability to work accurately and timely – in order to meet deadlines.

  • Ability to be flexible and handle change well.

  • Advanced oral and written presentation skills required.

  • Ability to travel about 30%.

Preferred:

  • Medical field experience.

  • Demonstrate ability to work in a global environment.
