ABOUT THIS ROLE

Audible is seeking a Senior Executive Assistant for our General Counsel. As Senior Executive Assistant, you'll handle day-to-day duties that may include juggling tasks, resolving meeting conflicts, calendaring, team communications, event management, business expense oversight and administration, as well as leading the execution on ad-hoc projects while maintaining high confidentiality. You'll demonstrate a connection to Audible’s People Principles, a commitment to Audible’s product and social mission, and an understanding of the General Counsel’s key priorities while proactively ensuring that the General Counsel makes the most effective use of their time and resources. As Senior Executive Assistant, you'll demonstrate a high attention to detail, build trust and confidence, exhibit advanced communications skills, and exercise sound judgement in your work.

ABOUT YOU

You have C-Level or senior executive administration support experience, the ability to quickly shift priorities, and an outward calm demeanor that engenders confidence as you confront and tackle anticipated and unexpected challenges. You possess the ability to identify, shepherd and deploy resources, demonstrated and advanced problem-solving and project management skills, and the discretion required to manage various matters for the General Counsel. You have strong knowledge, technical proficiency, and a high comfort level using Microsoft Outlook, Excel, Word, and PowerPoint, an interest in learning new productivity tools, and familiarity with videoconference platforms and messaging applications. You have experience executing travel logistics and you anticipate, influence, and demonstrate care and attention to the details of every task and project which includes proactively identifying and creating day-to-day efficiencies. You’re a resourceful problem-solver who will escalate matters with sound judgment, influence, and persistence.

You have the ability to cultivate strategic relationships, read a room, look around corners, while being nimble, to set up your executive for success, even virtually. You are naturally curious, and inquisitive, with deep research capabilities, and able to work with confidential information with professionalism. You’re self-motivated, highly organized, and able to manage multiple projects. You are able to adapt frequently to adjusting schedules and are able to back-up other Executive Assistants as needed. You have a quiet confidence and ability to influence others – including peers – to create internal and external networks in your executive’s favor. You align with Audible’s People Principles and thrive in environments with high levels of ambiguity and urgency.

As a Senior Executive Assistant, you will…

  • Manage business scheduling and calendars

  • Strategically handle travel plans, reservations, and logistics

  • Attend meetings, as requested, and ensure follow-up actions are managed effectively

  • Coordinate meetings with Amazon and Audible executives, including sharing of confidential notes and documents

  • Assist with planning team meetings and off-sites

  • Provide legal team budget oversight

  • Provide basic troubleshooting for hardware and software issues

  • Identify and execute strategies to improve team efficiency and effectiveness

  • Assist with team projects and events at headquarters and other hubs

  • Maintain confidentiality and demonstrate discretion and good judgment with sensitive matters

Basic Qualifications

  • Bachelor Degree or equivalent experience

  • 5+ years of experience providing support for senior level executives

  • 8+ years of experience as an Executive Assistant

  • Experience with C-level executive calendar management

  • Experience with domestic and/or international travel coordination

  • Advanced experience with Microsoft Outlook, Excel, Word and PowerPoint

Preferred Qualifications

  • Experience as both a Personal Assistant and an Executive Assistant

  • Experience in high growth companies

  • Experience working in fast paced environments where navigating ambiguity is the norm
