Description

We are in search of a meticulous Administrative Assistant to join our team in the financial services industry in Newark, CA. Your role will involve handling a variety of administrative tasks such as sorting and digitizing personnel files, directing inquiries to the appropriate team members, and preparing reports using MS Office. This is a short-term contract employment opportunity.

Responsibilities

• Review and categorize personnel files based on guidelines and determine which files need to be retained or discarded.

• Digitize hard-copy documents and store them in the appropriate electronic personnel folders.

• Handle inquiries that arise during the review of personnel files and direct them to the appropriate team members.

• Use Microsoft Office tools such as Word, Excel, and PowerPoint to prepare reports, memos, and other documents.

• Communicate effectively with key stakeholders regarding status updates and progress.

• Coordinate the maintenance of personnel files and other document/legal requirements as needed.

• Perform administrative tasks such as updating and categorizing electronic documents to ensure they are appropriately labeled.

• Leverage your skills in Human Resources Administration and Electronic Document Management to ensure smooth operations.

• Scan documents as part of the digitization process.

• Utilize your proficiency in Microsoft Excel and Microsoft Word to accomplish tasks efficiently.

Requirements • Proficiency in Microsoft Excel, Microsoft Word, and Microsoft PowerPoint is required.

• Ability to review and manage personnel records in line with legal requirements.

• Experience in Human Resources (HR) Administration.

• Experience in electronic document management and photocopying/scanning documents.

• Ability to prepare reports and present them to appropriate personnel and stakeholders.

• Knowledge of consumer electronics is desirable.

• Ability to progress tasks and projects in a timely and efficient manner.

• Ability to communicate effectively with stakeholders at all levels within the business.

• Familiarity with maintaining confidentiality in dealing with personnel records.

• Demonstrated ability to adapt to new software and technology.

• Strong organizational skills and attention to detail.

• Excellent written and verbal communication skills.

• Ability to work independently and as part of a team.

• Previous experience in a similar role within the Financial Services industry would be advantageous.
