Position Summary:
The Senior Tax Site Coordinator implements and oversees onsite aspects of our larger tax site operations. Coordinate the organization and establishment of the VITA site. Supervise all aspects of the larger sites from start-up and training through return preparation to site closure in mid-April.
Essential Job Functions:
Assisting the Training Manager set up the site for tax preparation services.
Maintain a strong and positive relationship with our host site. The Site Coordinator should be in close and regular contact with their host counterpart, ensuring a positive experience, not only for our clients, but for our community hosts.
Oversee the day-to-day adherence to site procedures by tax preparers, quality reviewers, admin staff, intake, and volunteers.
Responsible for creating schedules and keeping track of staff and volunteer's days/hours.
Participate in the training process for VITA site staff and ensure that the staff is trained and certified to prepare tax returns within VITA scope.
Daily transmission of tax returns to IRS and New York State.
Corrections of rejected tax returns within 24 hrs. of rejection.
Monitoring tax preparer for errors and adherence to tax laws, regulations, & site procedures and that staff members are only preparing returns at their certification level.
Ensure the privacy and confidentiality of the tax returns prepared at the VITA site, as described in Publication 4299, Privacy and Confidentiality, and that these requirements are adhered to by the staff as well as the quality of the returns and ensure that quality reviews are performed.
Ensure that the site is adequately staffed.
Maintain a record of volunteer agreements for all certified staff.
Ensure the site has required Publications 17 and 4012 in addition to IRS posters (civil rights etc.).
Ensure that IRS Quality Alerts are distributed to each staff/volunteer to review.
Day-to-day oversight of operations of sites in the tax season.
Rap up and closing of tax sites post-April 15.
Corrections of all outstanding returns and customer service on all outstanding.
Experience and Education:
Bachelor's degree and/or equivalent experience.
Candidates should have at least 5 years' experience in the tax preparation field and strong knowledge of personal income taxes as well as tax law knowledge.
Management and/or supervisory experience is a plus.
Strong communication and organizational skills and self-motivation.
Good attention to detail with excellent follow-up skills.
Must be able to balance competing priorities and work on multiple tasks, often on a time-sensitive basis.
Bilingual (Spanish/English) a definite plus.
