The Bids & Contracts Specialist is responsible for ownership and managing the bidding process for Bedford, Freeman & Worth Publishing Group, LLC. This role prepares, analyzes, and submits bid proposals as well as supporting the contracts process through compliance in the event a bid is awarded. This Analyst applies expertise in the bidding process, contract management experience, excellent organizational skills, and a detail-oriented approach to ensure successful bid submissions with high quality.

Major responsibilities include, but are not limited to:

  • Practice end to end ownership of selective bids from state and district customers.

  • Analyze, prepare and coordinate bid proposals in response to Requests for Proposals (RFPs), Requests for Quotations (RFQs), and other solicitations that might come from Sales, Schools or 3rd parties.

  • Submit complete and high quality bid proposals on time, meeting deadlines.

  • Collaborate with internal stakeholders to gather and consolidate information required for bids.

  • Ensure proposals are accurate, competitive, and comply with client specifications.

  • Help maintain the Bids & Contracts documentation with pricing updates, contract submissions, knowledge base documentations, State bid processes, etc.

  • Participate in State or district meetings for any changes on bids submission requirements as well building relationships with our external customers.

  • Maintain comprehensive and organised records of all bid proposals and/or contracts.

  • Ensure compliance with applicable laws, regulations, and company policies throughout the contract lifecycle.

  • Provide the necessary documentation on bidding and contracting activities for management review.

  • Assist on the renewal of contracts.

  • Maintain all forms that are necessary within a Bid process.

  • Act as the primary point of contact for clients, vendors, and internal teams regarding bid and contract-related inquiries.

  • Facilitate effective communication and collaboration to ensure successful submission of a bid and resolution of issues.

  • Must be able to work with all levels of organization.

  • Identify and recommend improvements to the bidding process.

  • Stay current with industry best practices, trends, and regulatory changes to enhance the efficiency and effectiveness of the bidding and contracting processes.

Required Qualifications:

  • Bachelors degree in Business Administration, Legal Studies, or a related field.

  • 3+ years work experience in related fields, preferably in K-12 or Higher Education.

  • Proven experience with drafting and managing complex bidding processes.

  • Strong understanding of procurement processes.

  • Excellent organizational, business writing, oral communication, business analytical, and time management skills.

  • Exceptional ability to communicate complex information in writing and verbally for diverse audiences.

  • Ability to multitask, attention to details, work independently and plan and prioritize effectively in a fast-paced, high volume, deadline oriented environment.

  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) , Google suite, Adobe.

Preferred Qualifications:

  • Experience in Publishing industry.

  • Project Management experience desirable.

  • Certifications in contract management or procurement (e.g., Certified Professional in Supply Management (CPSM)) are a plus.

Salary Range: $70,000 - $90,000/year

Exemption Status: Exempt

Physical Requirements:

Must be able to concentrate and multi-task for long periods of time in busy, noisy environment. Required to be in the office each week. Must be able to travel occasionally for meetings in our other offices and for National and Regional Sales meetings, as needed. Must be able to work more than 40 hours per week, as needed.

This is a hybrid role. 1-2 days a week are required in either the NYC or Austin, Texas office. Ideal candidates will be located in or near the New York, New York or Austin, Texas areas.
