The salary of the finalist selected for this role will be set based on a variety of factors, including but not limited to departmental budgets, qualifications, experience, education, licenses, specialty, and training. Position Summary

Columbia Residential manages a portfolio of 149 graduate and faculty residential buildings around the Morningside Heights campus as well as in Manhattan Valley and Riverdale, Bronx. The department is responsible for routine operations and maintenance of over 5,700 University-owned or managed units which are used to house eligible students, fellows, faculty, and certain eligible officers of research, libraries, and administration.

Reporting to the Assistant Director, the Senior Associate of Faculty Housing is responsible for the comprehensive oversight and management of housing operations for various groups, including postdoctoral researchers, junior faculty, senior faculty, and non-affiliates. Under

Responsibilities

  • Housing Process Management: Oversee the entire housing process, including applications, assignments, reassignments, transfers, and leasing operations. Develop and implement housing policies, ensuring compliance.

  • IT and Website Management: Troubleshoot housing-related IT systems and maintain the housing website. Handle special projects to enhance overall housing operations.

  • Reporting and Training: Supervise reporting mechanisms and train staff to ensure efficient housing management. Foster continuous improvement in housing operations.

  • Liaison Role: Serve as a key liaison among various departments, institutes, and housing liaisons. Ensure effective communication, troubleshoot issues, and manage relationships to maintain smooth operations.

  • Flexibility and Responsiveness: Perform related duties and responsibilities as assigned, demonstrating flexibility and responsiveness to the needs of the housing department and its stakeholders.

Specific Responsibilities:

  • Postdoc Housing Management: Lead the management process for postdoc housing, including overseeing applications, assignments, and housing selection. Manage application reviews, reminders, allocation utilization, waitlist management, reassignments, transfers, and eligibility issues to ensure a smooth and efficient housing process for postdocs.

  • Junior Faculty Housing Oversight: Lead the management of applications, assignments, and housing selection. Conduct inventory reviews, manage tenure-track rent adjustments, reassignments, and transfers, and oversee liaison notifications and relationship management.

  • Senior Faculty Housing Policy Development: Assist in developing and refining leasing/assignment processes and policies tailored to senior faculty housing needs. Continuously evaluate and adjust policies to provide optimal housing solutions aligned with senior faculty preferences and requirements.

  • Leasing Operations: Manage leasing operations for all non-students, ensuring efficient and compliant processes.

  • Operational Excellence: Handle IT/system management troubleshooting, occupancy management, website updates, and special projects aimed at improving non-student housing operations. Ensure operational excellence by addressing issues promptly and proactively implementing solutions to enhance residents' quality of living.

  • Reporting and Training: Oversee reporting mechanisms and training initiatives to ensure optimal operation and decision-making within faculty housing. Provide comprehensive reports and conduct regular training sessions for staff to facilitate informed decision-making and continuous improvement within the housing management team.

Additional Duties: Perform related duties and responsibilities as assigned or requested.

Minimum Qualifications

  • Bachelor's degree in Business Administration, Real Estate, Hospitality, or a related field, and 3 years related experience required.

  • At least 3 years of experience in customer service, property management, real estate, or a similar role, preferably in an academic setting.

  • Strong organizational and project management skills, with the ability to effectively manage multiple tasks and deadlines.

  • Excellent communication and interpersonal skills, with a focus on customer service.

  • Proficiency in Microsoft Office Suite, especially Excel for managing spreadsheets and databases.

  • Ability to work independently as well as part of a team in a fast-paced environment.

Preferred Qualifications

  • Familiarity with housing software systems and utilities management is preferred.
