Reporting directly to the Registrar, the Course Scheduler is responsible for ensuring exemplary customer service, efficient student-centered problem resolution, and accuracy in data reporting. This position is critical in participating in enrollment-related initiatives and working with key individuals campus-wide in the scheduling of courses and other events related to campus space. The Specialist supports Baruch College's vision and mission for strategic enrollment management and student success.

In addition to the duties in the CUNY title Overview, the Course Scheduler will:

· Work with academic departments to create a conflict-free and accurate schedule to balance efficiencies that meet department and student needs according to college policies

· Act as primary point of contact and liaison with division schedule coordinators on a range of complex scheduling, operational and administrative issues related to academic course offerings and certain types of special events

· Assist in establishing and implementing workflows to accommodate course/section scheduling requirements and requests

· Book classes with pre-assignment requirements (labs, science labs,VC equipment needs, medical, etc), academic events, student activities, and other events

· Respond to a high volume of scheduling-related emails and serve as a scheduling resource for academic units and other campus units/departments

· Enforce adherence to the academic calendar, building hours, and College policies.

· Learn and maintain knowledge of general registration processes and the ability to explain the interdependencies with the schedule of classes

· Create, approve, and modify reservations in CourseDog and continually improve utilization by efficiently scheduling in centrally scheduled instructional space;Clean up error and problem listings

· Generate various space reports for interested stakeholders such as facilities and media services

· Prepare and disseminate Final Examination Schedule to be distributed to various offices as well as the web

QUALIFICATIONS

Bachelor's Degree and four years' related experience required.

Preferred Qualifications:

· Experience with PeopleSoft student information system and CourseDog schedule software

· Experience with building complex course schedules and using historical and forecasted enrollment data to inform academic units of scheduling decisions

· Strong analytical skills, attention to detail, and excellent organizational skills

· Excellent verbal and oral communication

CUNY TITLE OVERVIEW

Administers College registration operations under management direction.

  • Coordinates registration services such as grade collection entries and changes, publication of semester course offerings, final examination schedules, classroom scheduling and requests for student information

  • Promotes policies and procedures in compliance with local, state and federal rules and regulations; advises College personnel regarding the development and implementation of responses to regulatory changes

  • Oversees the conformity of record release procedures to management policies and legal requirements, including the Family Rights and Privacy Act (FERPA) and other applicable laws and regulations governing the confidentiality of student records

  • Creates and reviews student communications from the Registrar's Office; ensures transcript and Degree verification requests are handled in a timely manner

  • Recommends and implements improvements to office operations; assists with strategic planning

  • Prepares reports and analyses on registration activities

  • May train faculty and staff on retention techniques, record-keeping protocol and/or registration systems

  • May supervise office operations and/or department budget

  • Performs related duties as assigned.
