The Millennium Group Office Services Associate in New York, New York

Main Duties and Responsibilities:

  • Assist with general stocking of the office, including printer areas, kitchen pantries, andconference rooms.

  • Ensure pantries, conference rooms, and office supply areas are clean and organized asindicated in procedures.

  • Provide daily backfill to all Office Services positions (e.g., mailroom, catering, reception)when required.

  • Receive and setup catering in conference room as required. Assist with coordination ofspecial events, meetings, luncheons, and other functions.

  • Assist mailroom with print jobs, mail distribution, pick up, and processing.

  • Assist Office Services team with entering and resolving facilities-related requests andissues as they arise. Conducts multiple daily sweeps of office to identify any facility issue(i.e., lights out, water leaks, stains, broken or worn-out furniture and finishes, etc.)

  • Assist with all office seating moves specifically onboarding/offboarding employeeworkstations.

  • Escort vendors to ensure correct pantry deliverables and report any discrepancies toOffice Services team.

  • Maintain inventory of office supplies and consumable items, and direct any reorderneeds to Office Services team.

  • Provide status updates on open tickets and close out tickets in an appropriate amountof time.

  • Other duties assigned

Qualifications:

  • High end front facing front desk experience.

  • Ability to multitask and prioritize responsibilities

  • Experience working in a corporate setting, financial services environment preferred

  • Clear, effective communication skills; both written and verbal.

  • Reliable, accountable, observant, and proactive about the role, the office, andrelationships with colleagues.

  • Exceptional customer service and organizational skills.

  • Attention to detail and consistent follow through.

  • Flexible, customer-focused personality.

  • Able to transition efficiently and seamlessly among the various jobs throughout the day.

  • Maintain relationships with various internal/external personnel to maximize jobefficiency.

  • Able to work independently and in team settings.

  • Positive, can-do attitude.

  • Ability to keep sensitive information confidential.

  • Strong administrative skills: proficiency in Microsoft Excel, Word, Outlook, othersoftware applications.

  • Experience with Zendesk or similar customer service ticket system.

  • 3+ years of related hospitality and office experience is preferred.

  • High school diploma or GED.
