Description We are seeking a permanent Office Coordinator to join our creative and collaborative team in New York. The Office Coordinator is primarily responsible for day-to-day office administration, facilities management, and hospitality. As a key member of our support team, they will contribute to our engaging and fun workplace and culture of respect. This role requires the ability to take ownership of facilities and administrative tasks with a high level of initiative, excellent communication skills, and keen ability to problem-solve in a hands-on manner. Responsibilities Facilities Management Manage day-to-day office operations including reception, incoming calls, shipping and deliveries, ordering and restocking supplies. Maintain shared kitchen and dining area. Sign-in and welcome guests Manage and prioritize use of shared office spaces and resources. Set up AV and technology. Conduct security and fire safety training, including assignment of keys and fobs. Act as main point of contact for building management, custodial services, landlords, vendors, and contractors. Coordinate with building management as needed to resolve facilities issues. Administration Provide administrative support including scheduling, travel booking, timesheets, expenses, and meeting support. Reconcile credit cards and hotel expenses. Assist travel booking for team members in New York. Other administrative tasks. Hospitality Maintain a well-run, welcoming, and tidy work environment. Provide meeting support including tech support, refreshments, and catering as needed. Support office events. Support onboarding of new employees. Manage tours including the scheduling, coordinating guides, providing refreshments, outlining security/confidentiality guidelines. Help maintain a clean and safe environment. Requirements Requirements · 3-5 years of relevant experience required · Demonstrated aptitude for office coordination and administrative support · A positive attitude and proactive approach to problem solving and collaboration · Excellent organizational, time management, and multi-tasking skills · Ability to maintain the highest level of confidentiality, judgment, diplomacy, and professionalism · Excellent verbal and written communication skills using a variety of media
