Description/Job Summary

The Manager of Document Management Systems is the Firm's product manager and subject matter expert for document management solutions and is responsible for establishing and driving the strategic roadmap for adoption and optimal utilization of document management solutions.

The position requires prior law firm Document Management System (DMS) knowledge, general expertise in information governance and knowledge management, experience engaging lawyers and other law firm staff, and a willingness to learn ways in which DMS content can facilitate artificial intelligence solutions.

Responsibilities/Duties

  • Work with the IT Department and practice leadership to develop and lead the Firm's short and long-term road-maps for all document management-related initiatives

  • Maintain awareness of the DMS product roadmap; influence and align the product feature set with the needs of the Firm

  • Assist in the development of a DMS cloud migration strategy and plan, and work with the IT Department to ensure delivery

  • Work with the Firm's Information Governance team to operationalize and reinforce Firm policies as they relate to the DMS

  • Foster relationships with document management vendors

  • Work with the IT Department to implement technical solutions and processes that increase efficiency and productivity across the Firm

  • Deliver products and services by effectively engaging stakeholders and coordinating the efforts of team members, the IT Department, vendors and consultants

  • Work closely with Knowledge Management Lawyers (KMLs) to analyze practice specific needs, develop processes and best practices and align document management functionality to support requirements

  • Engage with billable and non-billable members of the Firm to promote use of document management through targeted discussions, business analysis, communications, presentations, and training

  • Collaborate with others in the Applied Analytics Group, Knowledge Management, IT and Firm practices on artificial intelligence projects that leverage documents from the DMS

  • Collaborate with various functions to define project objectives and oversee deliverables throughout the project lifecycle

  • Work in tandem with the IT Department to design, configure and implement new document management versions, feature sets and integrations

  • Advise and assist with the implementation of product configurations that balance effective knowledge sharing with security and information governance policies

  • Minimize risk to the Firm by delivering a user-friendly, secure and high performing solution to manage all client and Firm data per Firm policy and jurisdictional regulation(s)

  • Identify, design, implement and support solutions that extend the core DMS platform, including third party and custom integrations

  • Expand the platform to support Knowledge Management initiatives including a structured and curated knowledge bank and electronic closing library

  • Oversee all product-oriented issues including business analysis, design, planning, training, deployment, operations and communications, and pair with the IT Department to ensure the right technical underpinnings to the platform

  • Help develop and monitor reporting and dashboards in support of the Firm's Knowledge and Information Governance requirements and goals

  • Develop use cases and practical examples to illustrate how new features can be effectively leveraged

Draft clear documentation and create multimedia resources to enhance understanding and engagement

Required Skills

Required

  • 5+ years DMS experience at a large law firm, consulting background a plus

  • Experience with DMS redesign, transformation or migration

  • DMS cloud-migration assessment and implementation experience is a plus.

  • Proven ability to influence key stakeholders by building trust and relationships

  • Strong presentation and communication skills

  • Substantial knowledge of product management techniques and tools

  • Work experience in product management capacity, strategic planning, risk management and change management

  • Solid understanding of information governance protocols and regulations

  • Strong leadership skills

  • Strong vendor management skills

  • Experience working both independently and in a team-oriented, collaborative environment

  • Critical thinking and problem solving skills

Technical Requirements

  • Demonstrates expert knowledge and experience with DMS products

  • Experience with M365 applications, including Exchange, OneDrive, SharePoint and teams - particularly as it relates to data storage and third-party integrations

  • Experience with complex software implementations including design, configuration, integration, rollout, support and training

  • Exposure and experience working in Agile development environment

Required Education

  • Bachelor's degree or equivalent years of experience required

Salary Information

NY only: The estimated base salary range for this position is $165k to $190k at the time of posting.

The actual salary offered will depend on a variety of factors, including without limitation, the qualifications of the individual applicant for the position, years of relevant experience, level of education attained, certifications or other professional licenses held, and if applicable, the location in which the applicant lives and/or from which they will be performing the job. This role is exempt meaning it is not overtime pay eligible.
