The salary of the finalist selected for this role will be set based on a variety of factors, including but not limited to departmental budgets, qualifications, experience, education, licenses, specialty, and training. The above hiring range represents the University's good faith and reasonable estimate of the range of possible compensation at the time of posting.

Position Summary

Reporting to the Executive Director for Finance and Budget, the Financial Coordinator provides financial administrative support for all processes of the Office of the A&S Executive Vice President. The incumbent will work closely and assist with the administration of Arts and Sciences Core Programs.

The Columbia University Arts and Sciences (A&S) Finance team's mission is to provide training, policy guidance, and transactional support for the unit administrators and support staff within the A&S so that they can assist the school's faculty to create a transformative educational experience for more than 16,000 undergraduate, Masters, and PhD students at Columbia.

Responsibilities

  • Works with the Executive Director and the Senior Managers to support the training of staff to be able to interpret policies and regulations.
  • Serves as the point of contact for the A&S department staff and responds to inquiries related to the initiation of transactions in the University's financial systems.
  • Works with the Executive Director to ensure compliance with university policies and regulations.
  • Identifies and resolves problems in a timely manner.
  • Conveys routine and complex information verbally and in writing with key stakeholders regarding University and Arts & Sciences financial programs, procedures, and regulations.
  • Processes paperwork for submission to the Controller's office and reviews for accuracy.
  • Compiles all necessary documentation for contracts with service providers and consultants to the Office of the Executive Vice President for Arts and Sciences and ensures that all proper documentation is submitted.
  • Enters budgets and process deposits in the cash module. Initiates vouchers for invoices, check requests, requisitions, purchase orders, internal transfers of funds, and journal vouchers, to make accounting corrections in the Accounting and Reporting at Columbia (ARC) web-based financial system.
  • Processes travel and business expenses in Concur. Serves as the preparer delegate for all faculty who are receiving reimbursement for A&S program expenses.
  • Works with faculty on the submission of receipts and the preparation of Concur expense reports.
  • Makes purchases for faculty through the University's purchasing mechanisms. Monitors research budgets to avoid overspending.
  • Serves as Concur's Initial Reviewer for the EVP Office, including all Faculty Research Allowance Program (FRAP) reimbursements.
  • Serves as the Initial Reviewer delegate to support senior staff during busy times of the year.
  • Assists the Senior Program Manager with updating the FRAP tracking spreadsheets, and funding cards, certifying receipts, and responding to FRAP inquiries from program participants.
  • Monitors new hires for each semester to gain awareness of segments that are needed to track expenses for new faculty. Serves as a backup for segment creations in ARC.
  • Holds travel corporate and purchasing cards for the A&S Core Program. Reconciles transactions for the monthly purchasing card hard close, including Faculty Student Interaction Dinner Program expenses, as well as any other A&S Core expenses charged to the cards.
  • Runs reports in the University's Financial Data Store. Performs the monthly reconciliation of the A&S Core program expenses and research funds that are administered through the office. Monitors expenses and resolves problems with any expenses that have been duplicated or incorrectly charged and initiate the appropriate corrections.
  • Acts as a liaison with the Service Now ticketing system to resolve problems for vendors and payees. Manages vendor creation requests.
  • Assists in the compilation of the annual Form 990 submission to the tax division of the Office of the Controller.
  • Creates and maintains complex spreadsheets as well as confidential files. Regularly update spreadsheets to reflect actual expenses to assist with quarterly budget updates, variance reporting, and resource allocation.
  • Assists the Executive Director in financial processing, purchasing, and reconciliation for departments with insufficient administrative staff to comply with university segregation of duties policy.
  • Works with the Executive Director on fiscal year-end closing process, making sure that all deadlines are met by processing fund transfers and resolving any issues with open commitments. Runs relevant reports, does appropriate reconciliations, and initiates corrections for the final close.
  • Keeps track of expenses on the final reconciliation of spreadsheets to make sure that all commitments made by the Office of the Executive Vice President for Arts and Sciences have been fulfilled.
  • Performs other duties as assigned.

Minimum Qualifications

  • High school diploma or equivalent and 3 years of related experience.

Preferred Qualifications

  • Some college education.
  • Experience with Columbia University's financial systems is highly preferred.
