We are seeking a highly motivated Executive Assistant to primarily provide administrative support to a Senior Vice President or senior leader, his/her direct reports as needed, as well as other attorneys across our legal department as needed. This is a great opportunity to join a team of experienced attorneys and legal support professionals. Success in this role is dependent on the development of positive working relationships with a wide range of colleagues both within and outside of the Law Department. The successful candidate will demonstrate excellent technology proficiency, attention to detail, strong interpersonal skills, and the ability to exercise sound judgement with all tasks. This person will support various areas within Legal Affairs, depending on business needs.

Key Responsibilities:

  • Collect, draft, and analyze documents providing multifaceted information efficiently.

  • Respond to requests from clients, external examiners, government agencies, regulatory authorities and/or other parties with attorney supervision.

  • Compile, analyze and summarize information for attorney review.

  • Perform document review and assist with due diligence.

  • Assist attorneys and stakeholders in a variety of projects participating in meetings and

  • Highly collaborative, professional partner with the ability to work as a team player and mutually support and work effectively with individuals at all levels of the organization.

  • Must manage own performance independently and effectively with excellent time management skills.

  • Superior prioritization, organization, proofreading, and office administration skills.

  • High degree of initiative and the capacity to anticipate the needs of professionals.

  • Highly proficient in MS Office (Outlook, Word, Excel, PowerPoint), Adobe Acrobat, eDocs, SharePoint, Workshare Compare; ability to troubleshoot basic software issues and learn new systems quickly.

  • Workload management: manage multiple assignments with a strong focus on attention to detail, organization and prioritization.

  • Proactively find solutions to issues with an ownership mindset.

  • Calendar management involving internal and external stakeholders using Outlook and scheduling tools.

  • Interface with executive assistants of senior leaders, at all levels of the organization, both within and outside of the company.

  • Demonstrate judgement in prioritizing meetings and managing calendars effectively by gaining knowledge of business priorities.

  • Provide administrative assistance to attorneys and other team members as needed.

  • Assisting with department project as needed, using judgment to make decisions, within the scope of responsibilities and other work-related duties as assigned.

  • Prepare high-quality, accurate documents, memos, presentations, reports, and charts.

  • Work with various tools, including matter management and ebilling, expense reports, and other platforms.

  • Work on special projects and assignments as requested.

  • Attend and participate in meetings and events as required.

  • Arrange business travel - including airlines, hotels, and transportation - and take initiative to collect travel receipts and submit expense reimbursement requests promptly.

  • Answer telephones and direct inquiries to appropriate parties for prompt and efficient resolution

  • Maintain documents and records in accordance with administrative and record retention policies.

  • Prepare reports for management, create, and maintain files and databases.

  • Work with outside counsel to coordinate activities and review bills.

  • Point of contact for stakeholders responding to requests for quick resolution escalating complex requests to attorneys.

  • Perform additional duties as assigned.

Essential Business Experience and Technical Skills:

Required:

  • Minimum of 3 - 5 years administrative experience supporting multiple leaders.

  • Strong computer skills, including Microsoft Word Office Suite (Word, Outlook, Excel, PowerPoint, and Adobe) SharePoint

  • Exceptional written and verbal communication skills.

  • Must always demonstrate a high level of confidentiality.

  • Excellent organization, time management, and multi-tasking skills required.

  • Ability to execute with urgency and agility.

  • Strong record of success collaborating with diverse personalities.

Preferred:

  • Law firm or legal department experience.

  • Ability to foster trusting relationship with clients and always ensure confidentiality.

  • Positive, proactive, and able to adapt to changes in the work environment.

  • Strong oral and written communication skills, including the ability to draft well-written correspondence.

  • Detail oriented work focus with a commitment to accuracy and quality balanced with timeliness.

  • Candidate should work well in team environments.

  • Demonstrate the ability to maintain professionalism under pressure.
