Robert Half Executive Administrative Assistant Advanced (>6 years) in New York, New York

Description We are offering a short term contract employment opportunity for an Executive Assistant in New York, New York. The successful candidate will be providing support to senior-level executives and investment bankers in a fast-paced environment. This role encompasses a variety of tasks, including but not limited to managing complex calendars, arranging travel and meetings, and handling various administrative duties.

Responsibilities:

• Maintain complex and detailed calendars, ensuring all appointments and meetings are accurately logged and updated.

• Screen incoming calls, determining their level of priority and ensuring information is dispensed appropriately and securely.

• Oversee the coordination and logistics of both internal and external meetings, ensuring all parties are informed and prepared.

• Arrange and coordinate complex domestic and international travel itineraries, ensuring all necessary arrangements are taken care of.

• Organize all aspects of internal and external events, including coordinating catering and transportation services.

• Process invoices and expense claims for team members, ensuring all policies are followed and items are processed within the provided guidelines.

• Assist with staff onboarding and offboarding processes, including requesting equipment setup and system access.

• Produce high-quality emails and messages for individuals at all levels of the organization.

• Maintain department documents, including current organizational charts and executive bios.

• Proactively handle regular activities, advising in advance of any issues or delays.

• Assist in editing spreadsheets and presentations for client meetings, including printing and binding as needed. Requirements • Proficiency in Documentation, Policy, Quality, and Presentations.

• Experience in Workstation Support, Logistics, Onboarding, and Claim Administration.

• Proficiency in Spreadsheets and Calendar Management.

• Familiarity with C-Suite operations.

• Experience in Printing, Catering, Expense Account Management, and Coordination.

• Proficiency in Editing and Word Processing.

• Experience in Transportation Services, Screen Calls, and Expense Management.

• Experience in managing Customer Meetings, International Travel, and Arranging Travel.

• Proficiency in coordinating External Meetings and External Events.
