Currently, we are seeking a Billing Coordinator to join our growing team. The role will partner with the entire accounting team to achieve our common goals, one of which is accuracy in project setup and billing which leads to accurate reporting. An eye for detail and good Excel skills are a must. Learn and grow in this billing role working for a great engineering firm.
The Billing Coordinator will provide billing and reporting for specific practice areas and acting as a contact person for internal and external clients for projects. You will be a key part of the team maintaining projects in the Deltek system, billing within the monthly deadline, and producing reports for leadership.
The goal of the role will be to produce accurate and timely work that establishes a center of excellence within the Client Services Group.

Responsibilities:
- Set up new projects and monitor the status of existing projects in the accounting system.
- Maintain project budget, change orders and other contract modification, approvals, and any additional service-related to billing.
- Compile, analyze, & process project bills to clients monthly with appropriate backup (timesheets, expenses, sub-consultants, payroll journals, other docs.)
- Review sub-consultant invoice for accuracy and backup documents for PM approval.
- Prepare MBE/WBE forms as required monthly, and update compliance monitoring systems.
- Work closely with project managers to ensure that invoices are accurate and comply with corporate guidelines.
- Review weekly timesheets to ensure that they have been submitted and approved prior to invoicing.
- Maintain project billing folder and accounting system to ensure all invoices and other project related documents are readily accessible for project managers & accounting department.
- Communicate professionally with project managers, clients and other staff providing accurate information and responds timely to inquiries and completion of assignments.
- Investigate billing errors, resolve discrepancies, and audit projects with complicated invoicing requirements on a quarterly basis.
- Assist with special projects as needed.
- Provide support to other accounting staff.
Requirements:
- 3+ years of billing experience preferably in the engineering, architectural industry.
- Associate or bachelor's degree in accounting/finance or similar field preferred.
- Agency billing experience is a plus.
- Knowledge of Deltek Vision and Elevia software is a plus.
- Proficient in MS Excel.
- Excellent analytical and problem-solving skills.
- Strong written and verbal communication skills
- Ability to organize and coordinate task.
- Detail oriented.
- Ability to work independently and also with a broad team.
Compensation
The rate for this position generally is$65,000-$70,000annually.This range is a good faith estimate provided pursuant to the New York Pay Transparency Law. It is based on what a successful New York applicant might be paid and assumes that the successful candidate will be in New York or perform the position from New York. Similar positions located outside of New York will not necessarily receive the same compensation.Actual pay rates may vary from the range, as permitted byNew YorkEqual Pay Transparency Law. Compensation offers will be based on various factors, including operational needs, individual education, qualifications and experience, work location and comparison to employee already in the role, as well as other considerations permitted by law. A potential new employee's pay history will not be used in compensation decisions.
