Robert Half Assistant - Executive in New York, New York

Description We are seeking an Executive Assistant for a short-term contract opportunity based in New York, New York. The Executive Assistant will provide personalized secretarial and administrative support, working on a wide variety of tasks related to executive's working life and communication. This role is in a fast-paced environment that requires an individual with excellent communication, data entry, research, and documentation skills.

Responsibilities:

• Act as the point of contact between the executives and internal/external clients

• Undertake tasks such as receiving calls, taking messages, and routing correspondence

• Handle requests and queries appropriately and efficiently

• Maintain schedules, arrange meetings and appointments, and provide reminders

• Coordinate travel arrangements as necessary

• Take dictation and minutes during meetings and accurately enter data

• Monitor office supplies and research advantageous deals or suppliers

• Produce reports, presentations, and briefs as requested by executives

• Develop and carry out an efficient documentation and filing system

• Assist in onboarding new hires and handle C-Suite correspondence. Requirements • Proficient in written and verbal communication

• Experience in data entry and management

• Familiar with standard office functions and operations

• Capable of managing documentation and paperwork efficiently

• Ability to schedule appointments and manage calendars

• Capability to conduct research and compile findings

• Experience in preparing and delivering presentations

• Familiarity with onboarding process and procedures

• Proficient in managing professional correspondence

• Experience working with C-Suite executives

• Ability to handle queries professionally and promptly

• Experience with supplier management

• Knowledge of efficient file system management

• Ability to draft and review agreements

• Experience in arranging travel and accommodations

• Ability to schedule and coordinate meetings

• Understanding of salary structures and compensation

• Ability to transcribe dictation accurately

• Experience in drafting briefs and reports

• Ability to produce reports as required

• Familiar with eligibility verification processes

• Willingness to undergo a drug test if required.
