POSITION OVERVIEW

Reporting to the Peer Advisor Program Coordinator, the Administrative Coordinator will have oversight of the Academic Advisement Center’s busy (virtual and physical) reception area.

In addition to the responsibilities listed in the CUNY Title Overview, this position will also require:

Maintaining a welcoming and organized Academic Advising Center virtual and physical reception area. Assisting students, parents, faculty and staff, and the public with referrals, appointments, general resources and information. Responding supportively and assisting distressed parents and students, referring them to the correct office or person within the limits of FERPA and college policy.

Overseeing the reception area in the AAC. Coordinating communication among all of the AAC staff and all student employees. Scheduling student appointments using appropriate technology. Completing daily financial transaction paperwork; ensuring that financial paperwork is complete and accurate from department offices; reconcile purchases from department offices; maintaining and organizing supply inventory in the AAC. Coordinating all AAC conference room reservations and set-up, scheduling, catering, invitations and RSVPS, agendas, as well as communication for those attending and presenting at center meetings, retreats, and events; assist in creating annual calendar for ongoing meetings and workshop; take notes at staff meetings.

Support staff members in AAC by assisting with special projects and requests as needed.

QUALIFICATIONS

Bachelor's Degree required.

PREFERRED QUALIFICATIONS

Two years of experience working in a higher education setting preferred. Knowledge of Spanish language a plus.

  • Collects data for, prepares, and distributes reports and presentations using word processing, spreadsheet, and presentation software.

  • Updates office databases, lists, and files to ensure completeness and accuracy; maintains current information on department web site(s); maintains department archives and collections.

  • Conducts internet and/or database research and performs basic systems queries to locate information related to department activities.

  • Maintains department fiscal plans and budgets; assists in budget administration and invoice processing.

  • Provides basic information, instructions, and materials as requested by students, faculty, and others who contact the department.

  • May supervise office staff and student workers.

  • Performs related duties as assigned.

$51,781 - $60,394
