Penguin Random House Administrative Assistant - (Onsite) in New York, New York

We are seeking an experienced Administrative Assistant to join our team and provide day-to-day support to the Executive Office at Penguin Random House. The role reports to the Manager of the Executive Office & Global Projects and will work very closely with the Executive Office including the CEO, CFO and Chief Strategy Officer. This position offers excellent insight into the overall world of publishing and is ideal for someone who is extremely organized, process-oriented and excels in communicating and working in a fast-paced environment. The role includes extensive interaction with a variety of global and US colleagues across all departments.

This is a fully in-office position based in midtown NYC.

Responsibilities:

• Provide general administrative support for the day-to-day operations of the CEO office

• Support with calendar management and scheduling for multiple executives

• Travel: arrange domestic and international travel, create detailed travel itineraries

• Expenses: collect expense receipts, prepare, submit, and monitor expense reports via Concur in a timely manner for multiple executives

• Manage office materials (monitoring existing supplies, ordering, and receiving)

• Manage book displays: coordinate title selection and book ordering for book displays in a variety of locations

• Draft communications for distribution

• Support in planning and coordinating high volume of meetings and special events (greeting visitors, room setup, catering orders, IT coordination)

• Support with special projects as needed

Qualification & Skills:

• A minimum of three years of closely-related experience with at least 5 years preferred

• Strong computer skills: proficiency with Microsoft Outlook, Word, Excel, and PowerPoint are required

• Excellent time management skills, and able to prioritize and multi-task

• Quick learner, and able to take and understand direction easily

• Exceptional verbal communication & excellent writing skills are both essential

• Professional, friendly, and helpful manner in person, on the phone, and in all correspondence is a must.

• Able to work well under pressure and handle multiple responsibilities in a deadline-driven and dynamic environment

• Strong sense of integrity with the ability to handle confidential and sensitive information with discretion

• Demonstrates a creative and resourceful approach to problem-solving

The salary range for this position is $60,000-$80,000. All positions are currently eligible for annual profit award or bonus, subject to Company results. Please apply using our online application process and include a cover letter with your résumé.
