POSITION DETAILS
The Administrative Exec Coordinator position reports to the Chief of Staff to the Provost. The position will provide direct support to the Chief of Staff, the Provost and the Associate Provosts. In addition to the CUNY Title Overview, the Administrative Exec Coordinator will:
• Assist in tracking/implementing faculty searches from budget approval to onboarding
• Track start-up and retention offers, such as supplemental salary, summer salary, or course releases
• Work with workload coordinators across campus to aid in monitoring faculty workload
• Take lead on collecting and reviewing faculty multiple position reports
• Manage logistics for accreditation and academic program review, e.g. planning and site visits
• Provide support to Finance Specialist, e.g. managing payment of faculty travel awards, managing appointments and time sheets for part-time employees and administrative staff
• May supervise student workers
• Assist the Provost and Chief of Staff with other duties as needed
QUALIFICATIONS
Bachelor's Degree required.
• Ability to work effectively and efficiently in a fast-paced, service-oriented, student-centered department
• Ability to work collaboratively and professionally in a team setting with diverse staff of all levels and communicate effectively with staff in other offices such as HR, Payroll, Registrar, Dean's Office, Hunter Foundation Office
• Experience with budget preparation and management (including creation of spreadsheets in Excel)
• Strong familiarity CUNYfirst
• High degree of professionalism and personal integrity to maintain confidentiality
• Detail oriented, self-directed, motivated, and proactive
• Strong analytical, evaluative, and research skills
• Experience with MS Word, MS Excel, Google Docs
• Experience with Photoshop, desktop publishing, marketing skills a plus
CUNY TITLE OVERVIEW
Provides administrative support to a Campus or University Executive.
Coordinates office operations such as meetings, communications, events, and reports.
Maintains extensive files and records for the unit.
Maintains accurate calendars, schedules, and key dates.
Collects data for, prepares, and distributes reports and presentations using appropriate technology. Runs basic system queries and reports to provide data.
Updates office databases, lists, and files to ensure completeness and accuracy; maintains current information on department web site(s), manuals, and other materials.
Provides clear communications on the Executive's behalf both within and outside the unit.
May perform related duties as assigned; may participate in special projects and efforts to improve unit effectiveness.

Salary commensurate with education and experience ($70541-$79,762).
