The Experience Supervisor oversees employees and daily operations to increase individual well-being, personal productivity, and organizational effectiveness. The supervisor will lead successful execution of activations and employee events as the primary point of contact for clients and primary communicator of event details to the meeting and events operations team.
Host uses people-led, technology-enabled services to connect employees to their environment via their mobile devices, as well as through high-touch services and world-class customer service support. In this role you would be responsible for guiding activations and employee events through the full scope of the planning process, including furniture and equipment configurations, audio-visual requirements, food & beverage service, transportation, and other event attendee services.
In this role, you will serve as cultural ambassador, community advocate, and service leader in the workplace.
You are responsible for providing services for the building, with the goal of ensuring that operations and processes align with activation and client needs and objectives. You will also drive and/or partner on all activations and events.
What You’ll Do:
Provides supervision of delivery of Experience Services including office activations.
Services include, but are not limited to: Concierge, Reception, Room Management, A/V Support, Meeting & Event Management, Community Programs, Meeting Supply Equipment, Food Services, Parking & Commute, Bicycle & Local Shuttle, Supported Employment, Company Store, Document Services, Mail Services, Office Supply Management, Moves, Adds, Changes, Furniture and Cable Management, Space Reset, Entrance Screening Protocol and Workplace Onboarding.
Work cross functionally with service partners of Catering, Engineering, Facilities, Fitness, Mail & Print, Security
Manages activations calendar. Communicates activation schedules with all required partners and service providers. Responsible for all communications, planning meetings with event staff, and proactively planning logistics across the master calendar.
Manages each activation / event as a project from planning through execution. Responsible for ensuring parties involved in supporting the event are asked for input at the right time in the event plan and receive all relevant communication. This includes creating and managing detailed event planning timelines, ensuring deadlines are met on time and with high quality, creatively troubleshoot issues, ensure effective handoff to service delivery team, monitoring the progress and schedule of events and tasks, communicating with stakeholders, management, and other relevant parties.Updates monthly and annual workplace experience budget trackers. Reports variances to Site Lead and WPE Director.
Coordinates with internal partners as well as with outside vendors and event professionals to manage to client expectations on time and with high quality. Creates and distributes banquet event orders to vendors and internal and external stakeholders defining activation specifics including a timeline and floorplans for set-up, event flow, and event strike details.
This includes but is not limited to: Sourcing/selecting/recommending vendors for catering, decor, entertainment, giveaways, etc., supporting event communication and marketing plan, problem-solving issues that arise, welcoming guests, directing event set-up, communicating with staff, organizing vendors, supporting attendee/speaker requests, and managing tear-down.
Maintains records of costs incurred by workplace team activities including activations. Ensures all billings for business services are invoiced and billed as required. Seeks ways to reduce costs; implements cost savings programs and procedures to increase efficiency.
Ensures innovative and customized materials are developed and utilized to meet the full Host experience. Utilizes the Host platform and client materials. Ensures client and company materials comply with client and company brand guidelines.
Host weekly new hire tours at the office and other tours, as requested.
Lead transportation and biking program at local site.
Responds to customer requests and complaints regarding Experience Services.
Oversees, utilizes, and maintains integrity of databases and other digital tools, which may include administration of SharePoint sites or similar associated with service delivery, as requested. Performs audits as necessary. May provide complex reporting.
Ensures safety standards are met by those delivery Experience Services; whether company employees or third party service providers.
Oversee support provided by coordinators/technicians.
Ensure all vendors used have current proof of insurance and contractual documentation in place, per requirements.
Maintain relationships with vendors who provide services and goods.
Captures post-activation reporting and reconciliation, and suggests recommendations for continuous improvement and cost / process efficiencies.
Assist in the completion of the Service Business Continuity plan.
Supports and provides informal guidance to junior members of the team.
May oversee coordination of moves, adds, and changes (MAC).
What You’ll Need:
High School Diploma or GED with 5+ years of job-related experience. Prior shift leader or supervisory experience preferred.
In-depth understanding of a range of processes, procedures, systems, and concepts within own job function and basic knowledge of related job functions required.
Requires the ability to explain complex concepts or sensitive information.
Expert knowledge of Microsoft Office products. Examples include Word, Excel, Outlook, etc.
Excellent organizational skills with a master-level inquisitive approach.

CBRE carefully considers multiple factors to determine compensation, including a candidate ’ s education, training, and experience. The maximum salary for the Workplace Experience Supervisor position is $110,000 annually. The compensation offered to a successful candidate will depend on their skills, qualifications, and experience. Successful candidates will also be eligible for a discretionary bonus based on CBRE ’ s applicable benefit program. This role will provide the following benefits: 401(K), Dental insurance, Health insurance, Life insurance, and Vision insurance.
