POSITION SUMMARY This position coordinates the daily operations of the college presidents office and performs a variety of administrative duties. Provides administrative support to the college president and the board members. Performs general office duties which consists of greeting visitors, filing documents, corresponding preparation, scheduling meetings, taking meeting minutes, maintaining office financial accounts, answering phones, maintaining travel schedules. ESSENTIAL JOB FUNCTIONS and RESPONSIBILITIES:**

Serves as the primary contact for the President in terms of communication purposes which may include students, parents, external clients, along with business executives.

Maintaining an open line of communication with the Board of Directors

Creates and maintains a filing system along with preparation of reports for the board meetings and other matters.

Schedules appointments and maintains calendar for the college president; prepares conference registration forms; travel arrangements for president, board of directors and others as needed or requested; coordinates arrangements for business and social functions of the president and board.

Schedules meetings as requested; coordinates detail, notifies attendees, types and/or prepares and distributes meeting materials, and when requested attends meetings to take and transcribe minutes. Maintains schedule for use of president conference room.

Preparation of financial statements, various reports, memos, invoices, letters and other pending documents

Functions as recording secretary to board of directors, admin and admin meetings; prepares agenda and meeting packets; attendings meeting to take and transcribe minutes; maintains and updates the minutes book.

Interacts with college employees, students, board members, or outside contacts to provide information or respond to requests; represents the college president where appropriate within the college community as well as with external agencies.

Organizes and archives records and documents for president's office personnel

Performs other related tasks and duties as required.
