Job Summary/Purpose

This position provides secretarial/administrative support directly to executives and officer levels and will exercise confidentiality, tact and diplomacy; will use business software applications (e.g., word processing, Excel, PowerPoint) to prepare correspondence, reports, presentations, agendas, minutes, etc. and may prepare responses to routine correspondence and inquiries; and will receive, screen and direct incoming calls, visitors, mail and e-mail, as well as maintain files, records, calendars and diaries, arrange business travel, coordinate meeting arrangements, and track expenses. This position will also participate in the development and implementation of secretarial standards, policies, and practices for the organization.

Job Duties/Responsibilities

  • Provide secretarial and administrative support to the highest level of Vice Presidents and Officers in the company.

  • Manage calendar, schedule events, travel arrangements, departmental meetings, and arrange conference calls.

  • Manage correspondence and routine documents and presentations given minimal direction. Prepare and draft documents, spreadsheets, presentations, interoffice correspondence.

  • Manage administrative affairs of the department including invoice processing, supply equipment procurement, training records, etc.

  • Handle and manage multiple assignments, work within deadlines, and maintain confidentiality of departmental issues.

  • Be proactive in forwarding work issues to the appropriate managers/supervisors.

  • Participate as an Executive Core Team member during storm events, which may require travel with the President/CEO and requires EA to have a storm role.

  • Work with other departments to plan, manage, and execute large corporate events.

Minimum Requirements

Minimum education required of the position

Typically requires vocational training, apprenticeships, or the equivalent experience in related field (not typically required to have a four-year degree).

Executive Asst - 8 years

Executive Asst, Sr. – 10+ years

Minimum knowledge, skills, and abilities required of the position

Highly skilled in all Microsoft applications; proficient in preparing PowerPoint Presentations and excel spreadsheets, highly organized and able to maintain multiple calendars and schedules simultaneously
