Posting Summary
Rutgers, The State University of New Jersey, is seeking a Senior Program Coordinator for the Division of Diversity, Inclusion, and Community Engagement.Among the key duties of this position are the following:
  • Provides organizational and executive administrative support to the Vice Chancellor, including managing correspondence, notetaking, and organization of important and confidential files.
  • Provides strategic and organizational support and acts as a first responder to items of urgency in order to assist in managing workflow to the Vice Chancellor.
  • Supports division activities by coordinating information gathering, communicating with cross-campus parties, developing and monitoring plans, and providing appropriately synthesized information.
  • Coordinates various division activities and develops high-level planning documents as well as tracks ongoing activities to support the creation of annual reports that showcase division and campus accomplishments related to diversity, inclusion, and community engagement.
  • Assists and aids in the execution of special and campus initiatives related to diversity, equity and inclusion, including outreach and engagement with special constituencies.

Qualifications

Minimum Education and Experience
  • Bachelor's degree.
  • At least two years of administrative experience, preferably with some experience in higher education or a non-profit organization.
  • At least one year of experience managing projects to implementation and providing executive support.

  • The person must be able to multi-task and manage competing priorities in a fast paced environment.
  • Must be able to handle sensitive information and maintain confidentiality.
  • Friendly and professional demeanor, with a focus on customer satisfaction and problem resolution.
  • Excellent organizational skills, attention to detail and accuracy.
  • Ability to work independently with little guidance.
  • Ability to exercise good judgment in a variety of situations.
  • Ability to maintain a realistic balance among multiple priorities with the ability to work under pressure.
  • Must have ability to interact with high-level administrators and have prior administrative experience within a college/university setting.
  • Strong organizational and communication skills are required.
  • Be self-motivated and detailed oriented.
  • Must be self-reliant and demonstrate professional judgement.
  • Ability to effectively interact with diverse populations, including work with a variety of units and departments to meet area mission.
Preferred Qualifications
  • Familiarity with national trends and best practices related to diversity and inclusivity in order to to support diverse campus populations (students, faculty, and staff) and outreach to external communities, particularly with historically underrepresented populations.
  • Individual must be self-reliant, an independent worker and thinker, and exercise sound professional judgment.
Equipment Utilized
  • Must have strong familiarity with equipment and software needed for administration and office management, including but not limited to virtual meeting platforms (Zoom, WebEx, Teams, etc.), Qualtrics, Google Drive, shared drives, Constant Contact, DocuSign, BaseCamp, Doodle, Microsoft Outlook; Microsoft Office Suite: Word, Excel, PowerPoint, Visio, Adobe Acrobat, Rutgers Procurement systems, Peoplesoft, ROCS.
Physical Demands and Work Environment
  • Position may be asked to lift boxes and materials up to 25lbs.
  • Position may be asked to travel from time to time.
  • Must have access to transportation and be available to works some nights and weekends.
