Posting Summary
Rutgers, The State University of New Jersey, is seeking a Senior Department Administrator Supervisor for the Department of Earth and Planetary Sciences within the School of Arts & Sciences (SAS).Among the key duties of this position are the following:
  • Provides overall administrative management and supervision of daily operations while performing a series of complex tasks for academic, research, operational and administrative unit.
  • Handles administration of personnel: faculty, staff and students, payroll, budget, grant administration and accounting programs for Department of Earth and Planetary Sciences that consists of both Graduate and Undergraduate programs.
  • Ensures timely processing of all requests and activities with prompt, professional courteous service to clients.
  • Reviews and develops best practices and procedures for efficient administration of business unit with shared electronic files, division of responsibilities to eliminate duplication of effort and coordination of all tasks.
  • Works with Chair and lab managers to oversee compliance with REHS and local Fire Codes (the new Clean Room and Mass Spectrometry facility will add to the list of laboratories needing oversight in the department).
  • Provides leadership to implement University initiatives within department and serve as resource for information.
  • Establishes performance standards, conduct evaluations, and has authority to hire and fire staff.
  • Analyzes financial data to monitor unit performance and incorporate into strategic planning process.
  • Works closely with Department Chair as an assistant and within department unit with broadly defined objectives.
  • Keeps abreast of all planning needs and supply historical operating data in accurate and timely manner to support strategic plans of unit.
  • Oversees the departmental fleet of vans for classroom field trips by keeping up with maintenance schedules as well as working with the chair on replacement vehicles.
  • Works independently with minimal review of work and broad understanding of administrative, managerial, and financial operations to service unit and University.
  • Resolves diverse range of problems as needed based on solid understanding of concepts, theories principles and practices.
  • Performs professional work requiring specialized knowledge in accounting, finance and familiarity of University structure.
  • Assists the Chair, Graduate and Undergraduate Directors with overseeing academic support by organizing and delegating academic requests to various staff positions.
  • Reviews and assists with all and faculty promotions and salary requirements.

Qualifications

Minimum Education and Experience
  • Bachelor's degree in accounting, finance, business administration or related fell, or an equivalent combination of education and/or experience that demonstrates knowledge and understanding of administrative operations and procedures with generally accepted accounting principles and practices.
  • A minimum of 5 years relevant experience in administrative and financial/accounting functions, preferably in higher education or in research environment.
Certifications/Licenses
  • Use of personal vehicle in order to travel for business demands; a valid driver's license would be required for this position.
Required Knowledge, Skills, and Abilities
  • Excellent communications skills, computer literacy, and ability to manage multiple tasks simultaneously are also required.
  • Experience with NSF Fastlane, grants.gov, RAPSS and ECRT online systems.
  • Advanced spreadsheet development and maintenance.
Preferred Qualifications
  • Much of this position interacts with faculty, staff, and University offices to define objectives, administer programs, resolve discrepancies, and request cooperation to achieve individual and unit goals.
Equipment Utilized
  • Work with desktop computer, scanner, printer.

Physical Demands and Work Environment
  • Travel to other New Brunswick campuses for training/meetings.
