Rutgers, The State University of New Jersey, is seeking a Business Assistant I for the School of Engineering's department of Biomedical Engineering, reporting to the Department Administrator.Among the key duties of this position are the following:
  • Responsible for day-to-day and monthly payroll reconciliation, purchase orders, making appropriate adjustments by creating financial entries.
  • Demonstrates working knowledge of general accounting principles and practices, reconciles tuition reports, makes corrections as needed.
  • Serves as department HCM Timekeeper/ payroll preparer and ECI (employee charging instructions) preparer, enters all department payroll new hires, terminations, and transfers.
  • Generates department Purchase Orders on Marketplace., assists faculty, lab personnel, and students with complex orders, wire transfers, check requests, and non-PO uploads.
  • Reconciles Federal Work Study students hourly payroll.
  • Responsible for department copier, liaisons with supplier, tracks purchase order balance.
  • Under guidance, reviews General Ledger open commitments, takes action as needed to cancel, close or rectify entries.
  • Handles logistics related to departmental events, faculty recruitment, and weekly seminars.
  • Assists in preparing teaching and graduate assistant and fellowship appointment and reappointment letters.

Qualifications

Minimum Education and Experience
  • Bachelor's degree in accounting, finance, business administration, a related field, or an equivalent combination of education and/or experience that demonstrates knowledge, and understand of office administration, organization, coordination, facilitation, bookkeeping and/or report writing.
  • Also requires a minimum of two years of relevant experience in a financial/accounting function, good communication skills, and computer literacy.

Preferred Qualifications
  • Excellent knowledge of Rutgers Financial Management system. Requires excellent communication and computer skills.
  • Must have proficiency in Microsoft Office Suite (i.e. Word, Excel, PowerPoint, Outlook,

  • Must have the ability to multitask and adapt to shifting priorities.
  • Ability to work on a team with the highest level of attention to detail.
