Naval Facilities Engineering Command MANAGEMENT ASSISTANT (OA) in Naval Station Complex, California

Responsibilities You will research and prepare narrative and statistical material in a wide variety of formats in support of the administrative and management functions of the office. You will be responsible for spreadsheet development and manipulation for charts and graphs, Power Point presentations, building access databases and records management. You will provide advice and information on administrative matters in accordance with established regulations, policies and procedures to personnel of all levels You will collect data from various sources, identify problems from collected data, result conflicts in data errors and prepare summary data reports. You will perform invoice processing, checking for accuracy while working with professional staff and contractors. You will maintain the office calendar, scheduling meetings and resolving conflicts as required. Requirements Conditions of Employment Qualifications GS-07: Your resume must demonstrate at least one year of specialized experience at or equivalent to the GS-06 grade level or pay band in the Federal service or equivalent experience in the private or public sector. Specialized experience must demonstrate the following: Creating a wide variety of correspondence and reports utilizing various automation software (e.g. Microsoft office suite, windows, databases) to provide clerical and administrative support; Assisting with the requisition/purchase of office supplies using Government Purchase Card (GPC); Providing support to personnel with various administrative tasks including preparation of correspondence, review of invoicing and payments, resolving travel-related issues, including travel orders, travel claims, and various administrative functions of the current travel system; and Providing routine customer support when receiving and answering in person requests, telephone inquiries and emails. GS-06: Your resume must demonstrate at least one year of specialized experience at or equivalent to the GS-05 grade level or pay band in the Federal service or equivalent experience in the private or public sector. Specialized experience must demonstrate the following: Assisting in creating records, scheduling meetings, and maintaining office calendars using office automation programs (e.g. Microsoft office suite, windows, databases); Using office procedures to perform administrative responsibilities (i.e. mail program, form development, directive management, tabular reports, etc.); Providing general and/or technical information to phone inquiries and emails; and Assisting in the preparation for meetings or site visits by assembling necessary records, reports, briefing materials and documents required for travel arrangements. This position requires the ability to type at least 40 words per minute.
