Insight Global Receptionist/Office Coordinator in Nashville, Tennessee
Job Description
We are seeking a friendly and organized Front Desk Receptionist to join our team. The ideal candidate will be the first point of contact for our company, providing exceptional customer service and administrative support. As part of a well-funded startup, the Receptionist/Office Coordinator will be exposed to a dynamic professional environment, an entrepreneurial culture, and will be part of a fast-growing company.
The key responsibilities for this role include being the face of the office for employees and guests, maintaining a welcoming, safe, and secure working environment, and managing vendors. You will communicate with the whole team for any office-related requests and carry out office processes, policies, and daily operations. This includes monitoring and maintaining office supplies inventory, arranging office orders and maintenance, and partnering with Office Coordinators to align perks, amenities, and events. Ensuring the reception area and conference rooms are tidy and presentable is also crucial. You will take the lead on building-related tasks and issues, such as employee parking, maintenance, and building/office updates and announcements. Additionally, you will ensure the kitchen and office supplies are always stocked, receive deliveries, sort and distribute incoming mail, and coordinate office lunches. Managing conference room calendars, including scheduling appointments, confirming meetings, and coordinating with professionals from other companies, is part of the role. You will also coordinate with the IT department for any technical issues and with the finance and accounting team when needed for invoices and expense tracking. Working on various ad-hoc projects, including research requests and company events, is expected. Finally, you will work with the Operations Lead to facilitate the onboarding of new employees, ensuring they and visitors are set up with what they need, including remote employees visiting HQ who need a space to work.

Skills and Requirements
High school diploma or equivalent; additional education or certification in office administration is a plus.
Proven experience as a receptionist, front desk representative, or similar role.
Experience interacting with executives in the finance, real estate or technology industries
Strong Microsoft Office skills (including MS Word, PowerPoint and Excel)
Strong Zoom skills
Excellent verbal and written communication skills.
Strong organizational and multitasking abilities.
Friendly and professional demeanor.
Ability to handle sensitive information with confidentiality. - Experience working at any of these type of industries: Property management, parking, hospitality
Bachelor's degree
Familiarity with Asana, Slack, Google Calendar and Expensify
Manage conference room calendars including scheduling appointments, confirming meetings, spotting/clearing up calendar related discrepancies, coordinating with professionals from other companies null
