Vanderbilt University Executive Assistant, Molecular Physiology and Biophysics in Nashville, Tennessee

This position provides administrative and business support to the Chairperson, other faculty, and committees as requested by the Chairperson. Requires the ability to work independently and multi-task while managing schedules and administrative support, as well as maintaining respectful and professional relationships with departmental personnel and the Vanderbilt community. Proficiency in Microsoft Word, Excel, PowerPoint, Publisher, Outlook, Oracle, web site maintenance, and a willingness to learn new systems is necessary. This position is on campus.

The Department of Molecular Physiology and Biophysics (MPB) is a basic science department in the Vanderbilt University School of Medicine. The department has been consistently ranked in the top three physiology departments in the nation based on funding as well as NRC ranking of related graduate programs. Faculty in the department use diverse cutting-edge techniques to address important research questions that span the spectrum of biomedical sciences.

Duties and Responsibilities:

  • Communicate on behalf of the Chair with administrative offices and committees, faculty and personnel within the department, the Vanderbilt community, and external professional organizations

  • Maintain internal department faculty files

  • Manage the Chair’s calendar and all aspects of travel logistics

  • Manage and communicate procedural requirements for submission of faculty appointments, re-appointments and promotions

  • Support and manage faculty recruitment efforts to include position advertisement, travel logistics and accommodations, and visit agenda/itinerary

  • Schedule and attend department faculty meetings, promotion and tenure review meetings, and leadership meetings, record notes

  • Manage MPB Seminars – includes Visiting Guest Seminars, Faculty Candidate Seminars, Secondary Appointment Seminars, Special Faculty Seminars and Chalk Talks, Graduate Student Association annual invited speaker, Department Retreat, and special symposiums Contact Speaker

  • Arrange hotel and travel logistics

  • Establish and finalize visitor’s itinerary, including dinner(s) and lunch(es)

  • Create and distribute Seminar announcement

  • Reconcile expenses and reimbursement of travel expenses and speaker fees

  • Manage logistics and event planning for department celebrations and special events. This includes purchase of alcoholic beverages and decorations and hands-on in every aspect of the event process – setup, teardown and cleanup.

  • Maintain departmental databases (personnel, faculty, alumni etc.).

  • Perform routine updates of department website (e.g., calendar & personnel listings).

  • Purchase supplies and equipment, reconcile expenses and initiate reimbursements as needed for the department.

  • Problem-solve using appropriate resources.

  • Coordinate effectively with other administrative staff in the department and in the broader community to ensure that the department functions smoothly.

  • Work on campus 5 days a week to support the needs of the department.

  • Support research efforts as needed.

Qualifications

  • Bachelors or associates degree is preferred

  • At least five years of relevant experience is preferred. Additional related experience may substitute for required education.

  • Strong interpersonal and communication skills and the ability to work collaboratively with a wide range of constituencies in a diverse community is strongly preferred.

  • Skill in organizing resources and establishing priorities is strongly preferred.

  • Vanderbilt experience is preferred.
