Job Summary:

JOB SUMMARY

The dispatcher will take calls and dispatch requests to the environmental services and other support service departments as assigned. Must have ability to enter information quickly and accurately into a computer system, strong communication skills, a clear and well modulated voice, consistent customer service skills and professional presence.

KEY RESPONSIBILITIES

• Ability to multi-task or perform simultaneous tasks

• Type while listening and speaking on the telephone. Exhibit excellent telephone etiquette and listening skills.

• Receive telephone requests and transmit alpha pages in rapid succession. Display good communication skills. Maintain professionalism at all times.

• Notify supervisor or managers of potential situations and unreasonable response times. Ensure compliance with policies and procedures for departmental operations.

• Demonstrate personal computer literacy and basic knowledge of Microsoft office.

• Direct the activity of the EVS and transporters, ensuring timely completion of tasks; follow-up on issues related to service and operations.

• Continuously monitors response times and. alerts supervisor if response time are longer than departmental standards.

• Possess working knowledge of modern office practices and procedures

• Work independently with computers, various software programs, 3-line digital phone systems, alpha numeric paging systems

• Remain calm and effective under heavy work load and emergency situations.

• Provide excellent customer service, including issue resolution or de-escalation of crisis / issues.

• Comply with confidentiality of protected patient information and of hospital business information.

• Maintain a safe, healthy, orderly and pleasant work environment; ensure dispatch equipment is in good, clean working condition.

• Ensure proper operation of hardware, software programs, page and phone handling systems; is able to troubleshoot and work with Information Systems.

• Manage incoming and outgoing communications related to support services

• Answer incoming calls, faxes, orders and emails for service

• Process outbound work assignments via computer software program

• Document and file transactions, issues and customer comments as defined

• Utilize effective dispatching logic to prioritize tasks, and dispatch assignments to the appropriate personnel in order of availability.

• Contribute proactively to dynamic hospital environment

• As assigned learn skills related to similar functions in the hospital to provide cross coverage for teammates

• Actively engage in process improvement and quality projects. Identify problems, conduct research, resolve or make recommendations to supervisor.
