Job Summary:

Analyze and review financial data and prepare financial statements and reports for both internal and external purposes consistent with a comprehensive understanding of Institutional mission and vision, the role and goals of the business unit and consistent with an understanding of academic and healthcare accounting in accordance with generally accepted accounting principles (GAAP), applicable regulations, and medical center policies and procedures. Guidelines and procedures are established on a global basis and an advanced level of professional judgment is required.

Position Summary:

Key Responsibilities:
Under the supervision of the Chief Business Officer of Finance and Gift and Donor Services, the Associate Director for Finance will have the following responsibilities:
Use generally accepted accounting principles to analyze, review and present information and summary reports to management
Format, design, and prepare financial reports and schedules to meet the needs of a variety of internal and external users consistent with Financial Management formatting standards
Act as Office of Development point of contact for Finance and Departments with Sub-Ledger (Gift System) or Ledger (WorkDay) questions related to gifts and endowments
Create gift ids in Workday including updates to gift hierarchy structure (security roles/department cost centers/indirect cost rates)
Monitor Workday gift extract file for appropriateness and accuracy of inputs
Provide support on endowment fund balances and how to see annual income budgets
Provide or demonstrate how to pull information from Workday related to fund balances and gift balance views
Prepare journal and closing entries
Clear banking entries in Workday each month related to wires received
Monitor internal gift balances and make transfers as requested (Community Development)
Run Workday reports and analyze results for variances and submit corrections as necessary
Review monthly results and understand impact of entries
Reconcile highly complex transactions and accounts
Sub-Ledger (Gift System) to Ledger (WorkDay)
Act as back up for Accounting Manager of Gift and Donor Services
Download daily activity from bank for gift processing
Create and submit monthly jounrnals on behalf of gift of donor services
Approve transactions in Workday related to Office of Development expenses using approved policies and procedures and approved budget while ensuring aherence to supporting documentation
Enter departmental contracts into PEER and liasion with Sourcing/Procurment to ensure Statements of Work (SOW) are accurately completed and sumbitted
Liasion internally to ensure purchase orders are created
Ensure purchase orders accurately reflect vendor billings, department receipts, and disbursement payments, while confirming monthly financial impact to department.
Manage State Registration Process with third party vendor to ensure Charitable Solicitation requirements are met.
Keep track of states where we are exempt and states where filings are required
Ensure vendor is meeting all reuired deadlines
Approve all vendor invoices for payment
Liasion with vendor and take lead on all signature requirements from VUMC Leadership
Prepare and submit various state and internal required filings
Annual speciality license plate filing to State of TN
Annual 990 schedules G and M
Annual account receivable adjustments and analysis
Participate regularly in process improvement teams under indirect supervision and oversight
Review weekly gift tax receipts and submit file to printer
Use creative problem solving skills
Use a broad knowledge of Vanderbilt systems, accounting practices and organizational business units to evaluate and recommend improvements in accounting system procedures to ensure accurate application of accounting principles
Maintain regular communication with intra-departmental administrative teams to promote consistency in accounting processes
