Job Summary and Qualifications

As part of the Care Transformation & Innovation Administrative Support Team, this position provides administrative support to assigned team members. Professional presence, teamwork, and organizational skills are essential. Maintains Outlook calendars and email for Care Transformation & Innovation leaders as assigned. Schedules meetings (internal/external to the organization) as requested. Supports travel and Concur management. Flexible in supporting any office projects needing attention due to specific deadlines. Assists other administrative support staff as a backup and cross-training as needed. Promotes process improvements, and courteous environment within the department.

Major Responsibilities:

80%

  • Manage multiple Outlook calendars, schedule meetings/events using judgment to resolve conflicts.

  • Coordinate and arrange logistics for various meetings for both internal and external events. This includes meetings, conferences, summits, receptions, dinners, and other events.

  • Support day to day operations of group including ad-hoc requests

  • Serve as primary contact for office deliveries/mail, office supplies, maintenance issues, equipment requests, new hire set up, etc.

  • Help with space management updates in assigned areas

  • Maintain email distribution lists for multiple teams

  • Update org charts to reflect recent changes

  • Provide general administrative support, including making copies, scanning/faxing, answering phones, delivering mail, filing, correspondence, etc.

  • Arrange travel as needed, including booking trips and creating itineraries. Prepare expense reports as needed.

  • Report PTO for assigned area of responsibility on a monthly basis.

  • Assist in onboarding new employees, contractors and vendors. Recruiting assistance such as Interview scheduling and coordination

  • Assist with uploading or removing documents on Atlas sites and SharePoint team rooms as needed

  • Help with interns, temporary employees, contractors or vendors as needed

  • Maintains supplies and equipment to meet departmental needs

  • Coordinate desktop support to resolve system or equipment issues

Experience:

  • Less than 1 year relevant work experience

  • Experience supporting executive leaders preferred

Education:

  • College Graduate Preferred

Special Qualifications:

  • Ability to handle confidential information appropriately

  • Proficient at Microsoft Word, Excel, Outlook and Power Point, webex, Concur.

  • Shows assertiveness and can work independently with limited supervision

  • High degree of flexibility required

  • Detail oriented with good organizational skills

  • Ability to multi-task and work independently with minimal supervision

  • Ability to balance conflicting & changing demands

  • Respects confidentiality of data and communications encountered in the workplace

  • Ability to effectively communicate

  • Demonstrate proficient project coordination

  • Excellent customer service skills in personal, telephone, and written communications

  • Ability to use judgment when resolving issues on behalf of managers

  • Ability to work and participate in a team environment within and across departments.

  • Demonstrate service oriented mindset.

  • Some overtime may be required
