The National Oceanographic and Atmospheric Administration (NOAA) provides funding to state governments and universities to administer the National Estuarine Research Reserves (NERRs) currently implemented at 29 locations around the coastal United States and its territories.

The Rookery Bay National Estuarine Research Reserve (RBNERR), located in Naples, Florida was designated in 1978 as the third NERR in the nation due to its outstanding natural features including pristine mangrove forests and barrier islands.

    Pay:

    $40,000 annually - 40 hours per week.

    Your Specific Responsibilities:

    Under the direction of Construction Projects Administrator (CPA) this position will conduct organizational studies and evaluations on office procedures providing technical assistance and developing procedures to assist the Rookery Bay National Estuarine Research Reserve (RBNERR) to operate more efficiently and effectively.

    Oversees, processes, submits, and tracks purchase orders in the My Florida Marketplace system (MFMP) for RBNERR. Ensures all expenditures are charged to proper organization and grant codes. Processes MFMP invoices and stays current on any MFMP training and/or changes.

    Develops and maintains an accurate filing system with proper records retention schedule. Maintains accurate records of purchasing in excel spreadsheets and reconciling this spreadsheet with the FINS reports.

    Coordinates with and aids the CPA with grants management by tracking grant budget.

    Completes P-Card (WORKS) purchases for RBNERR staff and ensures that payments are submitted accurately and timely per DEP directives and policies.

    Maintains records of staff cell phones and usage, and orders new phones. Ensures that phone usage forms are uploaded into OCULUS and kept up to date.

    Coordinates with and assists CPA with hurricane/natural disaster tracking providing administrative assistance in the event of an emergency at the Reserve including pre-storm preparation, post-storm clean-up and other assignments as requested.

    Maintains the organization of the office supply room, keeping all copiers, printers, faxes, etc. stocked and in good working condition. Assists with mail distribution and deliveries.

    Performs other duties as required.

    Required Knowledge, Skills, and Abilities:

    Knowledge of office procedures and practices; knowledge of principles and techniques of effective verbal and written communication. Ability to prepare correspondence and administrative reports. Ability to utilize problem solving techniques. Ability to work independently. Ability to plan, organize, prioritize, and coordinate work assignments. Ability to review, interpret and develop policy and procedures.

    Minimum Qualifications:

    Driver’s License required.

    Microsoft Office Suite experience.
