Job Summary:

We are looking for a dynamic, administrative assistant to join our team supporting Real Estate Sales Professionals at our Naperville office at 836 W. 75th Street, Naperville, IL 60565.

This is a full-time, on-site position with expected hours M-F 8:30am-5pm (not a remote position).

Essential Duties & Responsibilities:

  • Maintain paperless files with dot loop for all transactions through close.

  • Obtain missing information as required and follow through with all parties

  • Compile packets, recruiting, listing, buyer and rental, and maintain online file flow and marketing materials

  • Answer phones.

  • Open and distribute courier items.

  • Distribute and prepare incoming and outgoing mail.

  • General office support functions including greeting customers and maintaining office appearance, opening and closing.

  • Pull reports as directed by sales manager, staff and agents

  • Process and monitor marketing agreements from inception to close.

  • Process buyer rep agreements.

  • Data entry.

  • IT/Tech support

  • Responsible for office’s social media presence

Requirements:

  • Real estate knowledge is a plus

  • Strong written and verbal communication skills

  • Ability to multi-task & prioritize

  • Strong computer skills - including Google platform and Microsoft Office

  • Social media savvy (FB, Twitter, Instagram, Pinterest, etc.)

  • Responsible for Office’s Social media presence

  • Assist Agents as needed with social media questions

  • Attention to detail

  • Ability to work independently and with a team

  • Professional appearance

  • Proactive

Skills & Experience:

  • High school diploma or equivalent required.

  • Previous real estate experience preferred

  • Administrative assistant experience preferred.
