Atlantic Health System Onboarding Coordinator in Morristown, New Jersey

In the role of Preboarding Coordinator, you will work on all things related to clearing new team members for hire. The candidate will manage clearances, compliance and coordinate all hiring activities for an assigned area of responsibility. The coordinator will ensure candidates are cleared in timely manner to begin in their assigned work location, approximately 600 annually per team.

In this role you will:

  • Establishes and clearly communicates the expectations and deadlines for all team members they are assigned to preboard. Thoroughly explains each step in the onboarding process and answers any questions from new employees/hiring managers regarding the assigned tasks.

  • Mange all Preboarding activities for candidates offered positions internally and externally, including I-9 verifications and collection of all necessary hiring documentation within Atlantic Health System.

  • Follows up with all new employees when deadlines are not met, or tasks are incomplete, and communicates these issues/concerns with the Recruiter and/or hiring managers.

  • Analyze and validates all candidate licensure, certifications and education are current and free of restrictions.

  • Facilitate various clearance preboarding pathways based on the type of the job, qualifications and/or site-specific needs.

  • Partners with Occupational medicine, Recruiters, Adjudication committee, hiring managers, and vendors ensuring candidates hold all necessary licenses, certifications, experience, and elements for incoming positions within Atlantic Health system.

  • Initiates all pre-employment screenings including, but not limited to, background checks, drug screenings, and examinations utilizing background vendor web site.

  • Evaluates documentation to determine legitimacy to ensure eligibility for employment while escalating to adjudication as needed.

  • Partners closely with the TA Operations Manager and Recruiting Directors for continuous process improvements. 

  • Participate in process improvement projects.  

  • Partner with and manage alerts and communications on every new hire with ISS, EPIC, Nursing Ed, Recruiting, Talent Management and Security. 

  • Ensure that all hiring activities conform to local, federal, industry, and company standards and requirements. 

  • Identifying and resolving any problems in the production process 

  • Responsible for introducing and standardizing regular audit and compliance practices for TA processes.

Education:

  • Bachelor’s in HR or other related discipline

Qualifications/Requirements:

  • Strong attention to detail, analytical and critical thinking ability.

  • Customer service oriented with exceptional verbal and written communication skills.

  • Understanding of recruiting operating procedures and practices, guidelines, HR technology and tools (preferred).

  • Ability to handle multiple projects simultaneously and deliver results against clearly defined deadlines (preferred).

  • Proficiency with Microsoft Office Suite (Word, PowerPoint, Excel) is required.

  • Good time management, prioritization, and multitasking abilities.
